Travel Coordinator

The role of a Travel Coordinator is crucial in ensuring seamless coordination of business travel and efficient day-to-day office management. As a key member of the team, you will be responsible for planning, booking, and managing domestic and international travel, as well as coordinating with airlines, consulates, and travel agents to secure timely and cost-effective bookings.

To excel in this position, you must have excellent organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. You should also be proficient in using MS Office applications and computer hardware.

  • Key Responsibilities:
  • Plan, book, and manage domestic and international travel: flights, accommodation, ground transport, and visa processing.
  • Coordinate with airlines, consulates, and travel agents for timely and cost-effective bookings.
  • Maintain accurate travel records and ensure adherence to internal travel policy.
  • Address last-minute travel changes, emergencies, or cancellations.
Office Administration

As a Travel Coordinator, you will also be responsible for supervising daily office operations to ensure cleanliness, safety, and functionality. This includes monitoring housekeeping performance and schedules, managing procurement and inventory of office supplies, stationery, pantry items, and hygiene essentials, and overseeing printing, scanning, copying, and related office support services.

Transport & Driver Duty Management

You will also be responsible for planning and supervising daily office driver duties, including scheduling for pickups, deliveries, and official errands. Additionally, you will maintain vehicle logs, fuel records, and coordinate preventive maintenance schedules, ensuring that vehicles are secure and safe for use.

You will also process and track administrative invoices and ensure timely payments, identifying areas of cost reduction and service improvement across all admin functions.
