
Front Office Coordinator

We are seeking a highly skilled and professional Front Desk Support Specialist to join our team. The successful candidate will be responsible for providing exceptional customer service, managing administrative tasks, and ensuring seamless communication with colleagues and visitors.
Key Responsibilities:
- Customer Service: Greet and welcome visitors, guests, and clients in a professional and friendly manner, ensuring a positive and hospitable experience.
- Administrative Support: Handle phone calls, emails, inquiries, and direct them to the appropriate person or department, while maintaining accurate records of appointments and meetings.
- Scheduling and Coordination: Schedule appointments and meetings, manage conference room reservations, and coordinate with other departments to ensure seamless communication and workflow.
- Information Dissemination: Provide information about the organization's products, services, or events to visitors, answer general queries, and offer basic information to guests and callers.
- Record Keeping: Maintain a log of visitors, including details such as their purpose of visit, time in/out, and contact information, and keep accurate records of appointments and meetings.
- Security and Access Control: Monitor and control access to the premises by issuing visitor badges and maintaining a secure environment, collaborating with security personnel to ensure the safety of the facility.
- Communication Skills: Possess strong verbal and written communication skills in English to interact with a diverse range of individuals, effectively handling multiple tasks simultaneously and prioritizing tasks to ensure smooth front office operations.
Requirements:
- A high school diploma or equivalent is required.
- Proficiency in office software and equipment is essential.
- Strong interpersonal skills and a customer-centric approach are necessary for success in this role.
- The ability to handle stressful situations with composure is also required.
- Previous experience in a similar role may be preferred but is not essential.
