Job Title: Estate Planning and Administration Specialist

We are a law firm that provides estate planning, administration, probate, and asset protection services for clients.

About the Role
  • The ideal candidate is organized, adaptable, able to meet deadlines, and follows systems while exercising judgment to provide an exceptional client experience.
  • Excellent verbal and written communication skills are essential.

The role requires ensuring legal services comply with firm policies and standards. The ideal candidate will work in a hybrid remote/in-person environment.

Responsibilities
  1. Reviewing meetings with clients
  2. Meetings with Referral Partners
  3. Team meetings and case management
  4. Organizing and analyzing asset information
  5. Preparing probate pleadings
  6. Coordinating filings with Probate Courts
  7. Marshaling assets and arranging valuations
  8. Preparing MassHealth applications
  9. Drafting estate planning documents
  10. Assisting with titling and retitling assets
  11. Preparing inventories and probate accountings
  12. Assisting with fiduciary income and estate tax returns
  13. Using Microsoft Office (3+ years preferred)
  14. Reviewing documents for quality and accuracy
  15. Deed preparation
  16. Improving office processes
  17. Ensuring smooth client file management
  18. Maintaining case management system records
  19. Experience with Wealth Counsel and Elder Counsel is a plus
Requirements
  • Possession of a degree not required but essential
  • Minimum 3 years experience in estate planning, elder law, estate administration, or long-term care planning
  • High-quality work, client management, procedural adherence, adaptability, and professionalism
  • Proficiency in Microsoft Office and Trust & Estate work (3+ years preferred)
  • Passion for assisting clients with strong communication skills
  • Accountability, proactive attitude, and team collaboration
  • Creative problem-solving, attention to detail, legal drafting skills
