About the Role

We are seeking a highly organized and detail-oriented Administration Manager to join our team at Esquare Services (Pvt) Ltd. The successful candidate will be responsible for overseeing the day-to-day activities of the administration function, including management of administrative staff, procurement and purchasing activities, and maintenance of communication systems.

Main Responsibilities
  1. Administrative Leadership: Provide leadership and guidance to administrative staff to ensure they are working efficiently and effectively.
  2. Procurement Management: Identify needs for reception, switchboard, mailroom, and kitchen; establish policies, procedures, and work schedules to ensure smooth operations.
  3. Communication Systems: Evaluate options, maintain equipment, and approve invoices to guarantee efficient communication.
  4. Staff Development: Recruit, select, orient, and train administrative staff to enhance their skills and knowledge.
  5. Performance Management: Communicate job expectations, monitor, and appraise job results to achieve desired outcomes.
  6. Purchasing: Obtain requirements, negotiate price and quality, and approve invoices for printed materials and forms.
  7. Special Projects: Organize and coordinate information and requirements to complete special projects on time and within budget.
  8. Continuity and Compliance: Document and communicate actions, irregularities, and continuing needs to ensure continuity among teams.
  9. Professional Development: Stay up-to-date on professional knowledge by attending educational workshops, benchmarking professional standards, and reviewing publications.
  10. Collaboration: Accomplish related tasks as needed to improve overall performance and enhance program and service quality.
  11. Financial Management: Anticipate requirements, submit information for budget preparation, schedule expenditures, monitor costs, and analyze variances to achieve financial objectives.
Key Requirements

Familiarity with computer systems is essential. The ideal candidate should possess excellent verbal and written communication skills and strong references in all areas to facilitate workflow efficiently.
