Proposal Specialist

Job Description:

As a Proposal Specialist, you will play a critical role in developing and submitting high-quality proposals that meet our clients' needs.

You will assist in creating proposal outlines and schedules, working closely with the proposal team to ensure timely submission of proposals. You will also be responsible for organizing proposals, their related documents, and updates, sending emails and reminders to designated individuals as needed.

To succeed in this role, you must have excellent document management skills, with the ability to ensure compliance with RFP criteria, including content, formatting, length, layout, and other requirements.

Additionally, you will be responsible for maintaining quality results by using templates and following proposal-writing standards, ensuring that the bid is error-free and uniform in tone. You will review RFPs to develop proposal plans and kickoff materials, write, edit, compile, and organize information from various sources to generate cohesive proposals.

You will also assist in updating the spreadsheet of all bids on a weekly basis, adding new bids and any results that come in for that week. You will compose all bid content, including executive summaries and cover letters, and monitor changes to solicitations, adjusting work accordingly.

The ideal candidate will be highly proficient in Microsoft Office, Word, and Excel, with exceptional analytical and problem-solving skills. They will possess strong communication and interpersonal skills, with the ability to work independently and as part of a team, handling multiple proposals and tasks simultaneously with deadlines.

Required Skills and Qualifications:
  • Highly proficient with Microsoft Office, Word, and Excel.
  • Motivated self-starter who can drive the proposal process from pre-RFP planning through delivery.
  • Analytical, with exceptional attention to detail. Ability to work independently and as part of a team. High sense of urgency and willingness to take the initiative.
  • Exceptional communication and interpersonal skills, strong problem-solving abilities.
  • Ability to organize and prioritize tasks efficiently, including the ability to handle multiple proposals and tasks simultaneously with deadlines.
