Job Title:

Financial Controller and Accounting Specialist

About the Role:

We are seeking a detail-oriented and proactive Financial Controller and Accounting Specialist to manage bookkeeping and accounting functions for our organization.

This role involves recording daily transactions, reconciling accounts, preparing monthly financial statements, managing intercompany transactions, and ensuring compliance with all filing requirements.

The ideal candidate will have a strong understanding of accounting principles and practices, excellent analytical and problem-solving skills, and the ability to work independently with minimal supervision.

Key Responsibilities:
  1. Daily Bookkeeping and Transaction Management:
    • Record all financial transactions, including sales, expenses, payroll entries, and inventory adjustments.
    • Process accounts payable (vendor bills, reimbursements) and accounts receivable (invoicing, payment posting).
  2. Bank, Credit Card, and Payment Processor Reconciliation:
    • Reconcile bank, credit card, merchant accounts, and loan accounts monthly.
    • Ensure all transactions are properly categorized and supported with documentation.
  3. Intercompany Transactions:
    • Record and reconcile intercompany transfers, charges, and loans.
    • Ensure intercompany accounts net to zero at each month-end close.
  4. Monthly Close and Financial Reporting:
    • Perform complete month-end close for each entity.
    • Prepare and deliver P&L, Balance Sheet, and Cash Flow statements by the agreed timeline.
    • Provide variance analysis comparing actual results to budget or forecast.
  5. Compliance and Tax Coordination:
    • Maintain accurate sales tax records and file returns on schedule.
    • Provide timely documentation to external accountants for quarterly and annual filings.
    • Support audits with necessary records and schedules.
  6. Cash Flow Management:
    • Maintain a rolling 12-month cash forecast.
    • Monitor daily cash balances and upcoming obligations.
    • Alert management of potential cash shortfalls in advance.
  7. Process Improvement and System Management:
    • Maintain and improve accounting systems (e.g., QuickBooks, Xero).
    • Recommend process improvements for greater accuracy and efficiency.
    • Ensure proper internal controls are followed to safeguard company assets.
