Project Administrator Role

The role of a Project Administrator revolves around providing administrative support to the Management and the Project Core Team. They are responsible for ensuring seamless day-to-day operations, allowing team members to focus on strategic objectives.

Responsibilities:
  • Provide administrative support to the Project Core Team and Management, ensuring all tasks are completed efficiently and effectively.
  • Develop and maintain project governance matrices detailing regular meetings and reviews.
  • Coordinate meetings, arrange travel, and manage office requirements for the Project Core Team.
  • Maintain and update company databases, guaranteeing accuracy and up-to-dateness.
  • Record-keeping in Excel and physical form, controlling and auditing communication of incoming and outgoing correspondence.
  • Prepare regular reports on expenses and office budgets, ensuring transparency and accountability.
  • Support the Finance department in obtaining necessary documents and facilitating chamber letters.
  • Assist in collecting visa-related documents when required.
  • Keep Leave records properly filed, scanned, and circulated to relevant staff.
  • Support in making timesheets and checking daily attendance registers concerning Leave records.
  • Manage the collection of letters from PR and circulate them simultaneously.
  • Purchase materials from the market and make local purchases of grocery and cleaning items.
  • Scan (DNs, letters, documents, expenses, etc.), including cash advance requests, travel requests, travel expense claim forms, and medical claims of all staff.
  • Store hard copies of approved cash advance requests and approved expenses after circulation.
  • Perform any other assignments from the Line Manager/Management.
Requirements:
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Knowledge of database management systems.
  • Attention to detail and ability to maintain confidentiality.
  • Adaptability and flexibility in a fast-paced environment.
