Program Assistant

Support the operations and administration of programs by providing assistance in supply chain management, maintaining contact information, monitoring incidents, preparing purchase requests, managing documentation, facilitating duty travel arrangements, organizing events, and liaising with Finance and Procurement Units.

Key Responsibilities
  • Provide support in supply chain management for all Protection projects.
  • Maintain accurate contact information of government, NGOs, UN, and other representatives to facilitate coordination and operational duties.
  • Monitor and record program-related incidents and report to supervisors as per IOM policy and procedures.
  • Prepare purchase requests and ensure timely approval and availability of necessary supplies for the protection program at country office and field level.
  • Prepare payment requests in line with terms of contracts with partner agencies, implementing partners, and service providers.
  • Manage record keeping of documentation for new service provider/partner contracts and contract extensions in accordance with standard IOM procedures.
  • Facilitate duty travel arrangements for Protection staff, including composing Travel Requests, booking accommodations, arranging transportation, and other related tasks.
  • Provide support in organizing Protection events, including trainings, meetings, conferences, and workshops.
  • Liaise with Finance and Procurement Units to follow up on service contract/partner renewals, invoices, release of payments to IPs/service providers, and other relevant tasks.
Requirements

Education

  • Bachelor's degree or higher from an accredited academic institution in Social Sciences, Business Administration, Development, or a related field with two years of relevant professional experience;
  • High school diploma with at least four years of relevant professional experience.

Experience :

  • Practical field experience and understanding in domains related to relief interventions and humanitarian action, including support to displaced populations and implementation of emergency and early recovery activities, is an advantage;
  • Experience in administrative and operational tasks with government, UN agencies, and/or national and international NGOs is essential;
  • Demonstrated experience and understanding of the humanitarian and resilience building context in Pakistan, and of the vulnerabilities experienced by diverse population groups;
  • Familiarity with General Protection, GBV, Child Protection, and/or Afghan Refugee and flood emergency will be considered a distinct advantage.

Skills :

  • Excellent writing and communication skills are required;
  • Strong interpersonal skills and ability to maintain trust and good working relationships with staff and counterparts are essential;
  • Capacity for creative thinking and problem-solving;
  • Team-oriented, but with capacity to work independently and with minimal supervision;
  • Personal commitment, efficiency, and flexibility;
  • Strong organizational and time management skills, and ability to deliver under tight timelines.
  • Understanding of IOM policies, procedures, and institutional tools will be considered an advantage.

Languages :

For all applicants, fluency in English is required (oral and written).

Knowledge of Urdu and any of the Pakistani regional languages is an advantage.
