Administrative Assistant

For the position of Managing Director Administrator, we seek a highly skilled and organized individual. The successful candidate will provide exceptional support to the Managing Director and contribute to the overall success of our organization.

Main Functions:

  1. Develop correspondence, reports, and documentation for various purposes.
  2. Coordinate travel plans for the Managing Director.
  3. Arrange necessary facilities for corporate office visitors.
  4. Keep track of the Managing Director's appointments.
  5. Pull together and update relevant data for the Managing Director's report.
  6. Set up meetings and conferences as required.
  7. Compose, record, and circulate meeting notes and minutes.
  8. Answer phone calls on behalf of the Managing Director and address them suitably.
  9. Host guests at the Corporate Office.
  10. Carry out general administrative tasks like photocopying, faxing, mailing, and filing.
  11. Maintain the organization's filing system.
  12. Research, get quotes, and buy office supplies.
  13. Assist in corporate management tasks.
  14. Oversee support staff at the Corporate Office.

Other responsibilities include:

  1. Maintenance and updates to our website
  2. Publication and distribution of newsletters
  3. Support for Central Services
  4. Support for Project Management
Requirements
  • A minimum graduate degree is required. Strong educational foundations can aid in building these skills.
  • Comfort with Microsoft Office and basic phone protocol. Familiarity with computers and the ability to learn new software applications. Effective verbal and written communication skills and typing proficiency are necessary. Also, maintaining confidentiality and handling sensitive information carefully is crucial.
  • Willingness to work flexible hours and occasionally travel overnight.

Remuneration: PKR 20,000 (dependent on experience)
