About the Role:

This dynamic and challenging Executive Assistant position offers a unique opportunity to join a forward-thinking organization as a key member of the executive team. As an integral part of the leadership team, you will be responsible for ensuring seamless operational efficiency, providing administrative support, and handling confidential information with discretion.

Key Responsibilities:

  1. Calendar Management: Coordinate and manage senior executives' schedules, including scheduling meetings, appointments, and travel arrangements.
  2. Communication: Handle incoming and outgoing communications on behalf of the executives, encompassing emails, phone calls, and written correspondence.
  3. Meeting Coordination: Organize and prepare for meetings, including booking venues, preparing agendas, and taking minutes.
  4. Documentation: Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
  5. Travel Arrangements: Arrange domestic and international travel, including flights, accommodations, and itineraries.
  6. Confidentiality: Maintain strict confidentiality and discretion with all sensitive information and communications.
  7. Office Management: Assist with office management tasks, including ordering supplies, maintaining records, and coordinating with vendors.
  8. Support Projects: Provide support on special projects and initiatives as required by the executive team.
  9. Relationship Management: Build and maintain strong relationships with internal and external stakeholders.
  10. Internal Communication: Manage incoming and outgoing calls via Zoom.

Requirements:

  • Minimum 3 years of experience as an Executive Assistant or in a similar administrative role.
  • Relevant diploma or degree in business administration or a related field is preferred.
  • Excellent organizational and time-management skills, strong written and verbal communication abilities, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Must speak fluent English.
  • Proactive, detail-oriented, adaptable, and able to work independently as well as part of a team.
  • High level of professionalism and the ability to handle sensitive and confidential information with discretion.
