
Office Operations Coordinator

The role of an Office Operations Coordinator is a vital part in ensuring the smooth day-to-day operations of an office environment. This position plays a crucial role in maintaining the overall ambiance and productivity of the workplace, while also providing support to employees and promoting a positive service image.
This position requires strong communication skills, both written and verbal, as well as the ability to work effectively with various stakeholders. The successful candidate will be responsible for providing insights and support to employees, introducing and reinforcing protocols and etiquette, and being visible and available to answer questions and provide information about the work environments.
An additional responsibility of this role includes conducting daily floor walks to ensure space readiness, all reservable desks and offices are clear, and equipment is working properly. The coordinator will also be responsible for the upkeep and management of shared spaces, including supply drawers, sanitary stations, and equipment, as well as engaging with relevant teams such as engineering, cleaning, vending, building management, and conference suite.
Furthermore, this position involves proactive management of communal floor areas, including hubs, vending areas, kitchen areas, meeting rooms, and toilets. The coordinator will be required to manage the locker process and ongoing distribution post implementation. They will also participate in and conduct meetings with employees and partners, create and distribute newsletters and other relevant communications, and support moves/changes across the workspace.
A friendly yet assertive approach is essential for this role, as the coordinator will need to hold monthly surgeries with floor occupants and key stakeholders to build harmonious relationships between building occupants and supply partners. Inductions and coffee chats with new starters will also be a significant part of this role.
In addition, the successful candidate will assist conference services teams where applicable, report all incidents and exposure to risks to the Facilities Manager, and ensure all Health & Safety requirements are met in accordance with Health and Safety in-country and Contractual requirements. Adherence to all client Services Site Operating Procedures, Standards, and Policies, as well as customer site rules, is also mandatory.
