Job Overview:

We are seeking an experienced Administrative Professional to provide exceptional support to our executive team. As an integral part of our team, you will be responsible for managing schedules, coordinating meetings, handling confidential information, and providing administrative assistance.

Main Responsibilities:

  1. Calendar Management: Coordinate and manage the schedules of senior executives, including scheduling meetings, appointments, and travel arrangements.
  2. Communication: Handle incoming and outgoing communications on behalf of the executives, including emails, phone calls, and written correspondence.
  3. Meeting Coordination: Organize and prepare for meetings, including booking venues, preparing agendas, and taking minutes.
  4. Documentation: Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
  5. Travel Arrangements: Arrange domestic and international travel, including flights, accommodations, and itineraries.
  6. Confidentiality: Maintain strict confidentiality and discretion with all sensitive information and communications.
  7. Office Management: Assist with office management tasks, including ordering supplies, maintaining records, and coordinating with vendors.
  8. Support Projects: Provide support on special projects and initiatives as required by the executive team.
  9. Relationship Management: Build and maintain strong relationships with internal and external stakeholders.
  10. Internal Communication: Manage incoming and outgoing calls via video conferencing platforms.

Qualifications and Skills:

  • Experience: Minimum of 3 years of experience as an Administrative Professional or in a similar role.
  • Education: Relevant diploma or degree in business administration or a related field is preferred.
  • Certifications: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
