Job Overview

Riphah University seeks a highly skilled and experienced Executive Support Associate to provide exceptional administrative support to the Campus Director. This is a unique opportunity to join our team and contribute to the success of our organization.

Key Responsibilities
  1. Provide administrative and secretarial support to the Campus Director, ensuring seamless communication and effective management of priorities.
  2. Prioritize and manage reports, business papers, and correspondence with precision and efficiency.
  3. Maintain the Campus Director's diary and coordinate travel arrangements, guaranteeing timely and successful execution.
  4. Filing, preparation, collation, and distribution of supporting documentation, notes, and correspondence.
  5. Screen telephone calls, filtering out unnecessary interruptions.
  6. Advise the Campus Director on matters requiring personal attention, providing relevant documentation and meeting deadlines.
  7. Deal with matters requiring immediate attention or refer them to the appropriate person in the absence of the Campus Director.
  8. Take minutes or notes during various Board meetings, stakeholders' sessions, and other meetings as required.
  9. Verify agendas and supporting documents and notes, ensuring accuracy and relevance.
  10. Contribute to the maintenance of the office policy and procedures manual.
  11. Provide administrative support to other departments as needed.
Correspondence and Communication
  1. Handle correspondence addressed to the Campus Director, addressing any queries or concerns.
  2. Assist with letters and presentations for the Campus Director, ensuring clarity and coherence.
  3. Greet visitors and stakeholders upon arrival at the campus.
Special Projects
  1. Execute special projects allocated by the Campus Director, demonstrating initiative and resourcefulness.
  2. Conduct research and analysis as required for projects, applying expertise and knowledge.
  3. Communicate effectively with stakeholders, clients, and visitors to achieve project goals.
  4. Monitor progress of projects assigned to staff by the Campus Director, preparing reports and implementing necessary actions.
