Executive Assistant - IT Position\

This senior administrative role provides high-level support to the Chief Information Officer (CIO) and IT leadership team. The ideal candidate will possess exceptional organizational skills, be proactive, and have a good understanding of IT concepts, tools, and workflows.

  • The successful candidate will manage and maintain the CIO's Google calendar, schedule meetings, and prioritize engagements.\
  • Prepare agendas, presentations, and reports for meetings.\
  • Screen calls, emails, and correspondence, responding on behalf of the CIO when required.\
  • Assist in tracking IT projects, ensuring timelines and milestones are met.\
  • Coordinate with team members and external stakeholders for project updates.\
  • Maintain documentation for IT policies, processes, and compliance requirements.\
  • Organize and schedule IT department meetings, events, and conferences.\
  • Take meeting minutes, distribute action items, and follow up on task completion.\
  • Act as a liaison between the CIO and internal/external stakeholders.\
  • Communicate IT-related updates, initiatives, and changes within the organization.\
  • Maintain and organize IT-related documents, ensuring confidentiality and easy retrieval.\
  • Analyze data for IT reporting and dashboards, assisting in decision-making.\
  • Support the IT team in organizing meetings and arrangements and internal communications.\
  • Stay updated on IT tools and systems, supporting and coordinating for basic troubleshooting assistance.\
  • Manage travel arrangements and expense reports for the CIO/IT leadership team.\
  • Handle ad-hoc tasks and administrative requests as needed.\
  • Hold a Bachelor's degree in Information Technology or Computer Science.\
  • Have 2-3 years of experience as an IT Coordinator/Executive Assistant-IT, preferably in Medical Billing, IT, or a technology-driven environment.\
  • Have experience in IT Operations and IT help desk support is a plus.\
  • Strong knowledge of IT systems, tools, and terminologies.\
  • Exceptional organizational and coordination abilities and multitasking skills.\
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with IT tools like Jira, Confluence, or similar.\
  • Strong written and verbal communication skills. Proficient in English language.\
  • Ability to handle confidential information with integrity.\
  • Good understanding of IT workflows, systems, and processes.\
  • Proactive and resourceful problem-solver.\
  • Detail-oriented with a high level of accuracy.\
  • Ability to thrive in a fast-paced, tech-driven environment.\
  • Strong interpersonal and relationship management skills.
