We are hiring a Remote Personal Assistant to the CEO / Office Executive

(Remote applicants only — you must have prior professional experience working remotely to be considered.)

We are seeking a highly skilled, proactive, and tech-savvy Remote Personal Assistant to the CEO who can work closely with our CEO to ensure seamless day-to-day operations in a fully digital environment. If you haven't worked remotely before, please do not apply. This role demands previous remote experience, with zero hand-holding, high initiative, and comfort operating independently in a fast-paced virtual setting.

Key Responsibilities All responsibilities assume you're working remotely, independently, and without constant oversight.

  • Task Execution: Execute tasks promptly and accurately as assigned by the CEO.
  • Remote Tools Proficiency: Advanced user of Microsoft Office Suite, Google Workspace, and especially Notion (must).
  • Adaptability: Quickly pick up new tasks, perform independent research, and apply solutions without needing training.
  • Multitasking & Deadlines: Juggle multiple tasks efficiently and deliver on all deadlines.
  • Follow-ups: Relentlessly follow up on incomplete tasks until resolved.
  • Email & Communication: Draft polished, professional emails and manage timely follow-ups across threads and departments.
  • Team Liaison: Coordinate with internal teams, track team attendance and task performance, and hold stakeholders accountable.
  • Client Interaction: Speak fluently with clients over calls — must be highly articulate in English.
  • Meetings: Schedule, manage, and take notes during Zoom meetings.
  • Confidentiality: Handle sensitive data with absolute discretion.
  • Time Management: Prioritize tasks efficiently without reminders.
  • Tech Savvy: Must be well-versed in Notion, Slack, Zoom, and other remote productivity tools beyond just Office apps.
  • Problem Solving: Think and act independently in stressful situations.

Requirements — Non-Negotiable

  • Remote Experience: You must have previously worked in a remote capacity. This is not optional.
  • Experience: At least 5+ years in a similar assistant or executive support role.
  • Tools: Proficiency in Microsoft Office, Google Workspace, Notion, Zoom, Slack, and project/task tracking systems.
  • Self-Starter: No hand-holding or onboarding. You're expected to jump in and immediately start delivering.
  • English Fluency: Strong verbal and written communication in English. If your spoken English is weak, please do not apply.
  • Autonomy: Capable of managing responsibilities without supervision or ongoing direction.
  • High Pressure: Proven ability to work under pressure, meet tight deadlines, and keep calm under stress.

Qualifications

  • Solid track record supporting high-level executives remotely.
  • Experience with Notion is a major plus — you'll use it daily.
  • Exceptional communication, time management, and task-tracking abilities.
  • Ability to adapt to change quickly, stay focused, and thrive in a remote-first culture.
