Overview:
We are looking for a detail-oriented and organised
Invoice Management Assistant
to support our bookkeeping operations. The role involves collecting, reviewing, and organising client invoices and ensuring all documents are correctly uploaded and categorised in
Hubdoc
for processing by the accounting team.
Key Responsibilities:
- Collect and manage all purchase and sales invoices received from clients via email or shared folders.
- Review invoices to ensure they are complete, legible, and contain all necessary information (supplier name, date, description, and total).
- Upload and categorise invoices accurately in
Hubdoc
, assigning them to the correct supplier or client folder. - Monitor Hubdoc's automated fetch connections (where applicable) and flag any connection issues.
- Maintain an organised digital filing system for all client invoices and related documentation.
- Track missing invoices and follow up with clients to ensure all documents are received on time.
- Communicate with the bookkeeping team to confirm that invoices have been successfully processed.
- Support the implementation of improved processes for document management and workflow efficiency.
Skills and Qualifications:
- Strong attention to detail and accuracy.
- Good organisational and time-management skills.
- Proficiency with
Hubdoc
,
Xero
, or similar document management software (training can be provided). - Basic understanding of bookkeeping principles (preferred but not essential).
- Excellent communication skills for liaising with clients and internal staff.
- Ability to handle confidential information responsibly.
Hours and Location:
- Lahore Office
- Full-time position
- Timings (2:00PM - 10:00PM)
