Location: Ability to work on site at 3.5km Defense Road Lahore (Only candidates comfortable with this location should apply) Onsite-Lahore
Hours: Full-time, Monday through Saturday, 9:00 AM to 5:00 PM
Job Description:
We're looking for an enthusiastic and highly organized office manager to join our team. In this role, you'll be at the heart of our operations, ensuring the office runs smoothly, efficiently, and with flair. From fostering a positive office culture to coordinating essential administrative functions, you'll play a pivotal role in shaping our company's success.
Job Responsibilities and Tasks:
- Oversee daily office operations, including scheduling, transportation and administrations works.
· Schedule meetings and appointments
· Maintain the office condition and arrange necessary repairs
· Coordinate with IT department on all office equipment
· support and assist staff development and training, including helping with new staff onboarding
· Manage contract and price negotiations with office vendors, service providers.
· Liaise with facility management vendors, including cleaning, catering and security services
· Organize the office layout and oversee office maintenance, coordinating necessary repairs with external suppliers and contractors
· delegate work to administrative staff and manage their workload and output
· arrange regular testing for electrical equipment and safety devices (either in the office or in the home if staff are working remotely)
· Ensure compliance with office health and safety policies and ensure they're followed
- Act as a central point for internal communications, ensuring team alignment and effective collaboration.
· Manage daily office operations, including scheduling, correspondence, and record-keeping
· Process invoices, purchase orders, and other financial transactions
- Provide administrative assistance to leadership and staff, ensuring everyone has what they need to excel.
- Identify inefficiencies and implement solutions to streamline office workflows and procedures.
- Plan and coordinate team-building activities, employee appreciation events, and community outreach initiatives.
Skills and Qualifications:
· Bachelor's degree in business administration or related field
· Experience in a fast-paced, dynamic work environment
· Knowledge of accounting principles and financial management
· Excellent problem-solving and critical thinking skills
· Positive attitude and a proactive approach to work
· Minimum of 4-5 years of experience in an office management role
· Proven ability to manage and prioritize multiple tasks
· Excellent written and verbal communication skills
- Proven experience as an Office Manager, Front Office Manager or any Administrative role
- Knowledge of Office Administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google Suite
- Hands on experience with office machines (e.g. fax machines and printers)
- Familiarity with email scheduling tools, like Email Scheduler and Boomerang
- Excellent time management skills and ability to multi-task and prioritize work.
Experience managing office budgets, overseeing expense reporting
Quick thinker with a knack for identifying issues and implementing creative, practical solutions.
- Ability to motivate and guide team members while fostering a culture of accountability and excellence.
