Position Overview
We are seeking a highly organized, proactive, and resourceful Executive Assistant
to support the CEO. This role requires excellent communication skills, strong judgment, and the ability to handle sensitive information with discretion. The Executive Assistant will act as a key partner to the CEO by managing communications, reviewing and prioritizing correspondence, preparing concise summaries of reports and emails, and ensuring effective follow-up across departments and external partners.
Key Responsibilities
Communication & Correspondence
- Manage incoming and outgoing communication on behalf of the CEO.
- Review and filter emails, messages, and reports, flagging those that require urgent attention.
- Draft and edit professional communication for internal and external stakeholders.
- Summarize lengthy reports, documents, and emails into actionable briefs for the CEO.
Calendar & Scheduling
- Manage the CEO's calendar, ensuring efficient scheduling of meetings, calls, and travel.
- Anticipate and resolve scheduling conflicts.
- Prepare necessary agendas, briefs, and materials for meetings.
Task & Project Coordination
- Track and follow up on action items to ensure timely completion.
- Coordinate with functional departments (Accounts, Marketing, Sales, Operations) to gather updates and ensure alignment on priorities.
- Liaise with external vendors, partners, and stakeholders on behalf of the CEO.
- Support special projects and initiatives by conducting research, preparing reports, and managing documentation.
Operational Support
- Maintain an organized system for documents, communication, and workflows.
- Provide administrative support including travel arrangements, expense reports, and record-keeping.
- Uphold confidentiality and handle sensitive business matters with discretion.
Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field (preferred).
- 2+ years of experience as an Executive Assistant, Administrative Officer, or similar role.
- Proven experience in managing executive-level communication and scheduling.
- Strong organizational and multitasking abilities with attention to detail.
Key Skills
- Excellent written and verbal communication skills.
- Ability to summarize complex information into concise, clear briefs.
- Strong problem-solving skills and sound judgment.
- Proficiency in MS Office Suite / Google Workspace.
- Ability to build and maintain positive relationships across departments and with external stakeholders.
- High level of discretion and professionalism.
