Executive Assistant to MD

We are seeking a highly organized and proactive Executive Assistant to support the Managing Director with daily operational, administrative, and strategic tasks. This role requires someone who can think ahead, manage priorities, maintain confidentiality, and ensure smooth execution of business activities. You will act as the MD's right hand — coordinating communication, preparing documentation, following up on tasks, and helping streamline decision-making.
Key Responsibilities
- Manage MD's calendar, schedule meetings, calls, travel, and appointments
- Prepare business reports, summaries, notes, follow-ups, and presentations
- Maintain high quality internal communication between departments and external partners
- Track tasks, deliverables, deadlines, and ensure timely follow-ups and completion
- Assist in managing emails, drafting responses, prioritizing messages, and filtering information
- Coordinate meetings and prepare agendas, briefs, and meeting minutes
- Support with hiring tasks, project coordination, vendor coordination, and client correspondence
- Handle confidential information with discretion
- Organize documents, digital files, proposals, contracts, and internal operational materials
- Help MD execute daily operational decision-making by providing timely information and updates
Requirements
- Past experience as Executive Assistant, Project Coordinator, or Admin support
- Excellent written and spoken communication skills
- Strong organizational, multi-tasking, and prioritization ability
- Fast learner with proactive attitude, problem solving mindset, and ownership thinking
- Comfortable working remotely with tools like Slack, ClickUp, Google Workspace, Drive, Calendar, Docs etc.
- Can work with limited supervision and take full responsibility of routine tasks
- Ability to handle sensitive/confidential information professionally
