Need to hire Virtual Assistant Executive on Urgent basics.

About the Role:

We are seeking an experienced Virtual Assistant (VA) with 3+ years of proven experience to support our team on a remote, contract, milestone-based basis. This role is ideal for a highly organized, detail-oriented, and proactive individual who thrives in a fast-paced environment and is comfortable working across multiple time zones. Candidates must be available to work primarily in Central European Summer Time (CEST).

Key Responsibilities

  • Administrative Support: Manage emails, calendars, scheduling, and documentation to ensure smooth daily operations.

  • Project Coordination: Track project milestones, deliverables, and deadlines while keeping stakeholders updated.

  • Communication Management: Draft, edit, and manage correspondence with clients, vendors, and internal teams.

  • Research & Reporting: Conduct research, compile data, and create structured reports and presentations as required.

  • Process & Documentation: Maintain and update SOPs, workflows, and records to ensure efficiency and compliance.

  • Task & File Management: Organize digital files, monitor task progress, and ensure accountability for milestone completion.

Requirements

  • Experience: Minimum 3 years as a Virtual Assistant or in a similar administrative/operations role.

  • Availability: Able to work during CEST business hours and adapt to milestone-based deadlines.

  • Technical Skills: Proficiency with remote tools such as Google Workspace, Slack, Trello/Asana, and Microsoft Office Suite.

  • Communication: Excellent written and verbal English skills; ability to communicate clearly and professionally.

  • Independence & Initiative: Strong organizational skills, attention to detail, and ability to work autonomously.

Contract Details

  • Type: Remote, Independent Contractor

  • Structure: Milestone-based payment aligned with deliverables and project outcomes

  • Duration: Ongoing, with potential for long-term collaboration based on performance

  • Compensation: Competitive, based on experience and agreed project milestones

  • Trial Period: Selected candidates will undergo a 3–4 day unpaid trial to assess performance, adaptability, and communication skills before confirmation of the contract.
