Position Summary
We are seeking a Virtual Executive Assistant to support CEO Aoun Hussain in managing operations across the group's portfolio of companies. This full-time remote role requires exceptional organizational skills, business operations experience, and the ability to coordinate across multiple teams and industries.
The ideal candidate will be proactive, detail-oriented, and comfortable handling both executive-level administration and operational follow-ups across consulting, tech, and healthcare businesses.
Key ResponsibilitiesExecutive Support
- Calendar Management: Organize and manage CEO's calendar, scheduling internal and client meetings across time zones.
- Communication: Draft, edit, and manage professional email correspondence on behalf of the CEO.
- Reporting: Prepare executive summaries, progress reports, and board updates across multiple companies.
- Confidentiality: Handle sensitive information with discretion and professionalism.
Operational Coordination
- Cross-Company Support: Assist in coordinating operations across A2 Business Consulting, Southern TechWorks, SalesTeq US/Canada, Amada Senior Care, and Hussain Industries Group.
- Follow-Ups: Track deadlines, deliverables, and action items from leadership meetings.
- Documentation: Maintain SOPs, process documentation, and compliance records across businesses.
- Client Coordination: Assist in managing client communication pipelines, particularly in healthcare and technology projects.
Administrative Management
- Data Entry & Organization: Ensure documents, contracts, and files are properly organized in digital systems.
- Expense Tracking: Support budget tracking and expense reporting for multiple entities.
- Meeting Support: Prepare agendas, notes, and presentations for executive and client meetings.
- Project Assistance: Provide support for strategic projects, including technology integrations and healthcare operations.
Required Qualifications
- Experience: 4+ years as an Executive Assistant, Virtual Assistant, or Operations Coordinator.
- Business Operations: Familiarity with managing workflows across multiple subsidiaries or business units.
- Tools: Proficiency in Google Workspace, Microsoft Office, project management tools (Asana, Trello, ).
- Communication: Strong English (written and verbal) for professional interaction with US/Canada clients and partners.
- Time Management: Ability to prioritize and manage multiple ongoing tasks across different companies.
- Discretion: Proven ability to handle sensitive and confidential information.
Preferred Qualifications
- Location: Based in Pakistan or Middle East region
- Healthcare/E-Commerce: Exposure to healthcare operations (HIPAA environments) or e-commerce platforms (Shopify).
- Project Management: Familiarity with Agile or business consulting workflows.
- Tech Savvy: Ability to work with digital tools like CRMs, cloud drives, Slack/Teams, and reporting dashboards.
- Executive Reporting: Experience preparing C-level business summaries and strategic documents.
Compensation & Contract Details
- Salary: PKR 100,000 per month (performance-based growth opportunities)
- Contract Type: Full-time, renewable contract with performance evaluations every 6 months
- Work Structure: 100% virtual/remote role with required overlap during US EST hours
- Client Location: Supporting CEO operations in Atlanta, GA, and across US/Canada subsidiaries
