About the role:

We are seeking a highly skilled and detail-oriented Senior Executive – U.S. Payroll to take full ownership of payroll tax compliance and ensure the accurate processing of payroll activities across Federal, State, and Local jurisdictions. This position requires deep expertise in U.S. payroll taxation, including IRS regulations, FICA, Medicare, FUTA, state-specific laws, and multi-jurisdictional payroll requirements. The ideal candidate will act as the subject-matter expert for payroll tax compliance and possess proven experience in employee and contractor reporting, including W-2 and 1099 filings.

Key Responsibilities:

  • Manage end-to-end U.S. payroll tax compliance across Federal, State, and Local levels.
  • Ensure strict adherence to IRS payroll tax regulations, including FICA, Medicare, FUTA, and state-specific tax rules.
  • Prepare, file, and reconcile Federal and State payroll tax returns, deposits, and all quarterly and annual reports.
  • Accurately classify and report employees and independent contractors (W-2, 1099) in accordance with IRS guidelines.
  • Monitor and maintain compliance with multi-state payroll tax obligations, including SUTA and local taxation requirements.
  • Lead and support payroll tax audits by preparing accurate documentation and responding promptly to regulatory inquiries.
  • Collaborate with Finance, HR, and Compliance teams to troubleshoot and resolve payroll-related issues.
  • Maintain up-to-date and accurate payroll tax records in compliance with IRS and state regulations.
  • Stay updated on legislative and regulatory changes in payroll taxation, recommending process or system enhancements where needed.
  • Provide mentorship and guidance to junior members of the payroll team.

Requirements:

  • Bachelor's degree in Accounting, Finance, Taxation, or a related field (Master's degree or CPA is preferred).
  • Minimum of 2 years of hands-on experience in U.S. payroll taxation and compliance, including multi-state payroll exposure.
  • Strong knowledge of IRS payroll regulations, FICA, Medicare, FUTA, and state-specific payroll laws.
  • Proven experience with W-2 and 1099 reporting, including year-end reconciliations.
  • Proficiency with ERP and payroll systems such as ADP, Workday, or Oracle, along with advanced MS Excel skills.
  • Exceptional analytical, organizational, and problem-solving abilities with strong attention to detail.
  • Excellent communication and leadership skills with prior experience supporting or mentoring junior staff.
  • Demonstrated ability to manage multiple priorities and meet strict deadlines in a fast-paced environment.
