Position Summary:

The Operations Support Officert is a crucial back-office role responsible for providing diverse operational, financial, and data management support across multiple critical business lines. This role requires exceptional organizational skills, meticulous attention to detail, and the ability to manage simultaneous, disparate tasks. The ideal candidate must be highly
proactive, independent
, and demonstrate a strong
sense of ownership
over their deliverables.

Core Responsibilities:

1. Operational Record-Keeping and Reporting:

  • Manage end-to-end operational and inventory record-keeping for client import and distribution activities.
  • Accurately record daily
    Purchase
    and
    Inventory Transfer
    transactions using customized internal software.
  • Coordinate with remote sites to obtain
    Monthly Physical Inventory Closing
    data, reconcile with book records, and analyze discrepancies.
  • Prepare detailed quarterly reports and
    PowerPoint Presentations
    summarizing key metrics, including
    Sales performance, Inventory Status, and Shrinkage Analysis
    .

2. System Implementation and Financial Support :

  • Work within a newly implemented
    Enterprise Resource Planning (ERP) software system
    for a major corporate client project.
  • Accurately record and manage daily
    Sales, Purchases, and Expenses
    within the ERP system.
  • Document, track, and manage a detailed
    list of system issues
    in a standardized format (e.g., Excel) and coordinate resolution efforts with external project officials via dedicated project communication channels.
  • Conduct structured
    User Acceptance Testing (UAT)
    of new software features according to provided scripts and report findings clearly.

3. Administration and Document Management :

  • Provide comprehensive administrative support to the Property Manager.
  • Maintain meticulous digital records of all
    contracts, agreements, and leases
    .
  • Respond to internal inquiries by reading, interpreting, and accurately
    extracting specific clauses and details
    from complex contractual documents.
  • Follow-up with clients on their scheduled maintenance activities.
  • Extract data from various systems to prepare and populate custom
    Excel reports
    and subsequent management
    PowerPoint Presentations
    as required.

4. Operational IT & Visual Support (Back-up Support):

  • Ability to quickly learn and utilize specialized design/drafting software to create technical visual layouts and develop
    detailed visual merchandising guides (planograms)
    as per operational specifications,
    ensuring continuity of service during the absence of the primary IT Support Officer.
  • Demonstrated ability to
    learn and execute basic remote IT support procedures
    . This includes providing
    initial troubleshooting and client assistance
    for common hardware, software, and connectivity issues (e.g., password resets, basic software installation guidance, peripheral troubleshooting) to operational sites, ensuring continuity of service
    during the absence of the primary IT Support Officer.

Required Qualifications and Skills:

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related quantitative field.
  • Ability to use
    Microsoft Excel
    and
    PowerPoint
    .
  • Experience in
    data entry, financial record-keeping, and operational reporting
    is preferable but not mandatory.
  • Experience or familiarity with any
    ERP software
    will be preferred.
  • Exceptional organizational skills and a meticulous
    attention to detail
    .
  • Strong written and verbal English communication skills.
  • Demonstrated ability to work independently
    , manage
    dynamic priorities
    , and show
    initiative
    in solving problems.

Spring North Commercial, Bahria Phase 7, Rawalpindi

Job Timing:
03:00 PM to 12:00 AM (Mon to Fri) (Evening Shift)
