Patient Care Coordinator

About the Role:
We're looking for a Patient Care Coordinator to join our growing healthcare operations team. This individual will be the first point of contact for patients, handling calls, messages, appointment scheduling, and coordination between patients, providers, and insurance carriers. The ideal candidate is detail-oriented, empathetic, and experienced in working with U.S.-based healthcare practices or EMR systems.
Key Responsibilities:
- Manage incoming patient calls and messages through Google Voice and Tebra (secure platform).
- Schedule, reschedule, or cancel patient appointments according to clinic policies and provider availability.
- Handle medication refill requests, ensuring all required details are included before forwarding to the physician.
- Perform insurance eligibility checks using Tebra, Availity, or other payer portals.
- Process prior authorizations for medications and services, coordinating with insurance companies via phone or online portals.
- Respond to patient inquiries regarding appointments, insurance, or billing in a professional and compliant manner.
- Maintain accurate records and patient documentation in the EMR.
- Communicate with patients and ensure necessary consents and approvals are documented.
- Collaborate closely with clinical and administrative teams to ensure smooth day-to-day operations.
Qualifications:
- Minimum 1–2 years of experience in a U.S. medical office, telehealth, or healthcare operations role.
- Working knowledge of EMR/EHR systems (Tebra, Kareo, Athena, or similar).
- Familiarity with insurance verification, prior authorizations, and patient communication protocols.
- Excellent English communication skills (verbal and written).
- Strong organizational skills with attention to accuracy and confidentiality.
- Ability to work independently while managing multiple priorities.
Preferred Skills:
- Medical or healthcare background strongly preferred.
- Experience with Google Workspace (Gmail, Google Voice, Sheets, Docs).
- Prior experience with psychiatry or behavioral health practices is a plus.
- Understanding of HIPAA compliance and patient privacy practices.
Work Hours:
Aligned with U.S. Central Time
(Clinic hours: Mon - Fri: 10:00 AM – 6:00 PM CST
