JOB OBJECTIVE:
To provide the company with an efficient service regarding labour and safety, management, security of this establishment, and sanitation conditions of non-production areas and other issues pertaining to labour laws, ensuring that projected plans are met on time with maximum economy and efficiency.
FUNCTIONAL RESPONSIBILITIES:
- To run the department under labour laws smoothly and administratively.
- To administer qualities of leadership and management skills and ensure the highest degree of performance both qualitative and quantitative.
- To monitor the description, policies, and procedures as laid down by the company by all reasonable legal means.
- Maintain amicable relationships with staff and workmen and promote dignity of work.
GENERAL:
- Make arrangements for a notice board to be fixed at the main entrance for the display of notices/circulars.
- Attend the court of law on behalf of the management as required.
- Preparation of monthly stationary requisition summary for different departments, including disbursement and storage.
- SECURITY MATTERS:
- Supervise security staff on concerning matters.
- Keep an eye on all incoming and outgoing material records.
- Cross-check all gate registers.
- Arrange for the issuance of uniforms.
- Be responsible for the premises outside of the boundary wall.
- Manage factory accounts efficiently (Canteen, O.T entertainment & sanitation) to provide better facilities regarding financial matters.
- Submit daily imprest report summaries to the concerned department.
- Handle matters pertaining to the companies ordinance and other laws applicable to this industry, for preventive measures based on laws/rules.
- Arrange transportation for staff through contract/company vehicles and goods through loading vehicles.
- Arrange photocopies for different sections.
- Maintain custody of the legal and corporate documents of the company.
EXTERNAL DEALING (DIRECT MANAGEMENT):
- Contact foreign agencies as per requirement, including labour affairs. The list of various agencies includes:
- Karachi Water & Sewerage Board.
- Karachi Municipal Corporation (City Govt) for manufacturing of trade licenses.
- Karachi Development Authority.
- Landhi Association of Trade & Industry.
- Employer Federation of Pakistan.
- Karachi Electric Supply Corporation.
- Pakistan Telecommunication Ltd.
- Sui Southern Gas Company.
- Sindh Employees Social Security Institution.
- Employees Old Age Benefits Institution.
- Joint Director of Labour Directorate Labour Welfare.
- Sindh Worker Welfare Board.
- Civil Defense.
- Sindh Police (Sharafi Goth Police Station).
CANTEEN:
- Ensure the service of meals to employees during lunch and tea breaks.
- Ensure the purchase of daily grocery items and stock.
- Manage/Examine Canteen facilities with details as follows:
- Daily purchasing of food items at the right price and time.
- Responsible for proper cooking through cooking staff.
- Be present during meal distribution to workers and staff.
- Ensure daily cleaning and maintenance of the canteen and kitchen.
TRANSPORTATION:
- Contract Vehicle:
- Prepare contracts and agreements on behalf of the management.
- Monitor punctuality of contract vans.
- Focus on scheduling employees entitled to van privileges.
- Coordinate with Finance department for timely payments to contractors.
- Negotiate with contractors for any emerging issues.
- Check the condition of contract vans to ensure they are well maintained.
- Opal Staff Van:
- Monitor/check the condition of the van.
- Watch arrival timings of van staff and investigate delays.
- Update details on incoming and outgoing van information.
- Loading Vehicle:
- Arrange for diesel.
- Coordinate with drivers for vehicle issues.
- Stay updated on vehicle maintenance issues.
- Schedule oil changes.
- Check outgoing material and meter readings of the vehicle.
- Executive Vehicles:
- Ensure washing and cleaning of Executive's vehicles.
- Ensure proper parking of cars.
WATER MANAGEMENT:
- Tanker:
- Monitor water levels in the underground tank.
- Forecast water requirements.
- Coordinate with water suppliers for tanker demands.
- Ensure proper water supply.
- Coordinate with Finance Dept for payments to water suppliers.
- Pumping Well:
- Monitor the pumping requirements for the demanded water level.
ATTENDANCE:
- Take daily attendance of workers at the rear gate, maintaining records of attendance and late arrivals.
TELEPHONE & MAIL:
- Dispatch outgoing mail through courier daily and maintain proper records.
- Submit incoming mail and outgoing letters to MD/CEO and Director/Chief Operating Officer.
- Receive incoming mail and maintain a register of received mail.
HOUSE KEEPING:
- Supervise complete sanitation of the head office block, front area, and plant area with housekeeping staff.
- Schedule tasks/responsibilities of sweepers.
- Plan schedules for extra duties on holidays as required.
- Prepare budgets for housekeeping materials.
- Oversee all materials related to housekeeping and their disbursement.
