Role Overview:

This role will assist in the day-to-day administration of vendor management activities, supporting the full vendor lifecycle. This includes collecting vendor PQ documentation, assisting in prequalification and onboarding processes, coordinating with internal stakeholders for evaluations, and helping maintain accurate and up-to-date vendor records. A key part of the role is to support vendor performance evaluations and audits, helping ensure vendors meet service, quality, and compliance standards.

Main Roles & Responsibilities:

  • Assist in collecting and organizing vendor prequalification documents.
  • Coordinate with vendors and internal stakeholders (e.g., HSE, Finance) for timely evaluation.
  • Support evaluators in obtaining missing or incomplete information.
  • Maintain and regularly update vendor records in the database.
  • Assist in publishing the Approved Vendors List (AVL) on a regular basis.
  • Verify accuracy of vendor contact and profile information.
  • Assist in conducting performance reviews and audits to evaluate their adherence to contractual obligations, service level agreements (SLAs), and quality standards.
  • Assist in compiling performance data, KPIs, and other evaluation metrics.
  • Maintain records of performance reviews and any corrective action plans.
  • Escalate recurring issues or risks to the line manager.
  • Ensure accurate filing of vendor registration forms, approvals, and correspondence.
  • Maintain version updates of the Approved Vendors List and ensure SCM teams have access.
  • Maintain record/logs for all evaluation scores, vendor communication, and status changes.
  • Prepare management reports and summaries for review and decision-making.
  • Support in identifying gaps or areas of improvement in vendor management practices.
  • Promote and uphold health, safety, and environmental (HSE) practices in all logistics activities, ensuring compliance with regulations and procedures.
  • Perform assigned tasks in strict compliance with HSE regulations, including the proper use of personal protective equipment (PPE).
  • Report instances of HSE non-compliance promptly and follow incident reporting and investigation procedures as outlined

Required Competencies / Qualification / Experience:

  • Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
  • 2–3 years of relevant experience in supplier relationship management, procurement, or supply chain.
  • Familiarity with procurement processes and vendor evaluations and audits.
  • Ability to work independently and collaboratively in a fast-paced environment.
