Union Developers is seeking a highly organized and proactive Executive Coordinator / Personal Assistant to CFO to provide comprehensive administrative, professional, and personal support. The ideal candidate will act as an extension of the CFO in handling day-to-day communication, stakeholder coordination, and confidential personal matters with utmost discretion.

Key Responsibilities:

  • Draft, review, and respond to emails on behalf of the CFO in a professional and timely manner.
  • Manage internal and external communication between the CFO and department heads, partners, and stakeholders (via calls, emails, and meetings).
  • Coordinate and follow up on tasks and decisions with various departments.
  • Maintain the CFO's calendar, schedule meetings, and ensure timely reminders and updates.
  • Prepare meeting agendas, take notes, and track follow-ups.
  • Maintain confidentiality and handle sensitive information with integrity.
  • Act as the liaison between the CFO and departmental heads for financial, operational, and strategic communications.
  • Ensure timely responses and follow-ups with external stakeholders and business associates.
  • Manage documentation, records, and reports related to inter-departmental correspondence.
  • Assist with the CFO's personal matters, including personal accounts, financial management, and scheduling.
  • Handle travel arrangements, reservations, and personal errands as required.
  • Manage and maintain records of personal transactions and ensure accuracy and confidentiality.

Qualifications & Skills:

  • Bachelor's degree in Business Administration, Finance, or a related field (MBA preferred).
  • 4 plus years of relevant experience in executive coordination, preferably with senior management or C-level executives.
  • Excellent written and verbal communication skills (English & Urdu).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills with attention to detail and time management.
  • Ability to multitask, prioritize, and handle pressure in a fast-paced environment.
  • High level of discretion and professionalism when dealing with confidential matters.
  • Problem-solving mindset with a proactive approach.
