Job Title: Assistant Facilities Manager

Department:Property & Facilities Management

Reports to:Facilities Manager / Head of Department

Key Responsibilities:

  • Assist in managing and supervising the day-to-day operations of the building, including maintenance, cleaning, security, and landscaping services.
  • Conduct regular inspections of the premises to ensure all areas meet quality, safety, and cleanliness standards.
  • Coordinate with service providers, monitor their performance, and ensure timely completion of scheduled preventive and corrective maintenance tasks.
  • Respond promptly to maintenance requests from tenants and building occupants, maintain records of maintenance schedules, complaints, repairs, and service logs.
  • Prepare, implement, and execute preventive maintenance schedules for MEP equipment.
  • Assist in handing over properties/equipment from the Engineering Department, preparing snag lists, following up for rectification, and maintaining records.
  • Assist in managing maintenance budgets and tracking expenses.
  • Act as a point of contact for tenants regarding facility-related issues and resolve complaints effectively.
  • Support smooth move-ins/outs and coordinate with leasing or property management teams as needed.
  • Support the implementation of fire safety, emergency evacuation plans, and safety drills. Ensure compliance with local safety regulations, building codes, and environmental laws.
  • Monitor utility usage (electricity, water, gas) and report anomalies or excessive consumption. Recommend and assist in implementing energy-saving initiatives.
  • Provide training or orientation to junior staff or new hires under the facilities team.
  • Prepare daily, weekly, and monthly reports on maintenance activities, incidents, and facility conditions.
  • Keep updated records of service contracts, warranties, and asset registers.
  • Assist in renovation or fit-out projects by coordinating with contractors and the in-house Engineering team and ensuring minimal disruption to tenants.

Qualification and Experience:

  • Bachelor's degree in Engineering / Technology (Electrical, Mechanical)
  • A minimum of three years of Experience.
  • Gulf Experience will be preferred.
