Job Description

We are seeking a highly organized and detail-oriented professional to manage travel arrangements, visa processing, and hotel bookings for our executives and staff. This pivotal role requires ensuring seamless travel logistics while adhering to the highest standards of service and compliance.

The ideal candidate will demonstrate a proactive approach to problem-solving, possess exceptional communication skills, and be able to navigate complex itineraries, facilitate visa procedures across multiple countries, and manage accommodation needs efficiently.

This position is critical in creating a conducive environment that supports executive efficiency and productivity. Your expertise in international travel protocols and familiarity with various administrative tools will be vital as you liaise with travel agencies and suppliers.

Key Responsibilities:

  • Coordinate and arrange international travel logistics for executives, ensuring timely and cost-effective itineraries.
  • Assist in the visa application and processing procedures for executives traveling abroad, ensuring compliance with immigration regulations.
  • Manage hotel bookings and accommodations according to executive preferences and company policies.
  • Develop and maintain strong relationships with travel agencies, hotels, and international service providers to secure optimal arrangements.
  • Monitor and track travel-related expenses, preparing monthly reports for budget review and cost management.
  • Provide timely support during travel emergencies, offering solutions and assistance as required.
  • Implement and maintain travel policies and procedures to enhance efficiency and ensure best practices for executive travel.
Requirements
  • Bachelor's degree in Business Administration, Hospitality Management, or a related field preferred.
  • Minimum of 5 years of experience in an administrative role, with a focus on travel management and executive support.
  • Strong knowledge of international travel regulations, visa processes, and hotel booking systems.
  • Exceptional organizational and multitasking skills, with a keen ability to prioritize tasks under pressure.
  • Excellent verbal and written communication skills to interact effectively with executives and external partners.
  • Proficiency in MS Office Suite and travel management software, with the ability to learn new tools quickly.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
