Administrative Coordinator

About the Job:

We are seeking a highly organized and proactive administrative professional to support our daily operations. The successful candidate will be responsible for ensuring smooth day-to-day administrative functions, maintaining security protocols, and supporting operational efficiency in compliance with internal policies.

This role requires strong organizational and multitasking abilities, excellent communication (verbal and written) and interpersonal skills. The ideal candidate will have a bachelor's degree in Business Administration, Management, or related field, and 1-3 years of relevant experience in administration, operations, and/or security.

The Administrative Coordinator will also assist in enforcing and monitoring security protocols as per our organization's Security Plan and Risk Assessments, and provide updates and guidance to staff on travel safety and route planning.

Key Responsibilities:

  • Ensure cleanliness and maintenance of office premises at all times
  • Handle day-to-day administrative operations, including supplies management and facility support
  • Maintain asset registers and ensure assets are audit-ready
  • Process and document petty cash expenses in line with finance procedures
  • Coordinate maintenance and repair of office infrastructure and equipment
  • Provide support in organizing internal and external travel, meetings, trainings, and events
  • Assist in end-to-end travel management for staff and guests, including bookings, logistics, and travel documentation
  • Implement and maintain systems for fleet management (in-house or outsourced)
  • Participate in monthly administrative closings and reporting
Requirements:

To be considered for this role, you must have:

  • Bachelor's degree in Business Administration, Management, Security Studies, or related field
  • 1–3 years of relevant experience in administration, operations, and/or security—preferably in the development or INGO sector
  • Familiarity with compliance, asset management, and inventory systems
  • Experience in handling travel logistics and staff movement
  • Basic data management and reporting skills
  • Strong organizational and multitasking abilities
  • Ability to travel within Sindh as required
  • Demonstrated ability to work independently and proactively in a fast-paced environment
  • Excellent communication (verbal and written) and interpersonal skills
