HR Operations Specialist

Overview

We are seeking an accomplished and proactive People Operations Executive to join our dynamic team. This is a pivotal role in delivering seamless employee lifecycle processes, maintaining accurate records, and ensuring timely communication.

Key Responsibilities:

• Coordinate onboarding and offboarding processes for new and exiting employees, ensuring a smooth transition and adherence to company policies.
• Prepare and issue employment letters, confirmations, and other official documents in a timely and professional manner.
• Maintain employee records (soft copies) and ensure data accuracy across all HR systems and trackers, guaranteeing confidentiality and compliance with regulatory requirements.
• Manage entries, deletions, and updates in HR tools such as Decibel, leveraging expertise to optimize system performance.
• Maintain and update master sheets and trackers across GDC and GCC based employees, demonstrating attention to detail and organizational skills.
• Oversee proper record keeping of visa details and documentation (GDC, and GCC), adhering to regulations and ensuring compliance.
• Support internal and external audits by preparing and compiling required documentation, showcasing analytical skills and attention to detail.
• Ensure timely and accurate entry of all types of data into HR systems and sheets, promoting efficiency and productivity.
• Draft and circulate employee communications including HR announcements, policy changes, and reminders, effectively communicating with diverse stakeholders.
• Manage and schedule celebratory posts for birthdays, work anniversaries, and milestones, fostering a positive and inclusive work environment.
• Support the planning and execution of internal engagement events and activities, promoting teamwork and collaboration.
• Contribute to process improvements in HR operations and documentation, driving innovation and best practices.
• Assist with other tasks and projects as assigned by the HR team, demonstrating adaptability and flexibility.

Requirements

• Proven experience in HR coordination, administration, or operations (1–2 years preferred).
• Strong command over Microsoft Excel and PowerPoint, utilizing technical skills to drive results.
• Excellent written and verbal communication skills, effectively engaging with diverse stakeholders.
• Highly organized with attention to detail and accuracy, ensuring meticulous record-keeping and compliance.
• Adaptable and quick learner in dynamic, fast-paced environments, demonstrating resilience and adaptability.
• Familiarity with HRIS, visa processes, or employee data management is a plus, showcasing expertise and versatility.
• Proactive team player with a service-oriented mindset, promoting collaboration and teamwork.
• Ability to handle confidential information with integrity, upholding confidentiality and professionalism.
• Comfortable working across different time zones and teams, demonstrating flexibility and global awareness.
