Job Title

We are seeking a highly skilled and organized Talent Management Specialist to join our team. This role will be responsible for overseeing the overall management of facilities services, including vendor management, team leadership, health and safety, financial management, and stakeholder engagement.


About the Role
  • Manage hard services in accordance with industry standards, ensuring that all building systems, including MEP, HVAC, Fire System, Elevators, Security equipment, Generator sets, UPS System, and building fabric, are maintained to high standards.
  • Oversee soft services in accordance with CBRE standards, ensuring that all facilities-related activities are carried out efficiently and effectively.
  • Ensure that all preventive and corrective maintenance is completed on schedule and as needed, with no service disruptions or failures.
  • Keep internal and external stakeholders informed about maintenance activities to prevent surprises.
  • Manage external vendors in coordination with the sourcing team, including vendor visits for PPM and reactive maintenance, QHSE management, work completion, and vendor payments in coordination with Finance.
  • Assist the Facilities Manager with asset surveys and condition surveys of critical/non-critical assets installed at the facility.
  • Manage front desk activities and lead service excellence, providing professional greetings and managing records of service requests and status.
  • Maintain HSE documents for audit purposes, responding promptly and accurately.
  • Arrange and confirm recreational, dining, and business activities, acting as a point-of-contact for the facilities team.
  • Follow security and emergency procedures, responding calmly and notifying appropriate personnel.
  • Provide personal services to employees and guests, including transport, travel arrangements, office wayfinding, visitor management, reception, refreshments, campus tours, reservations, shipping, car services, laundry, gifts, and packages.
  • Support the Facilities Manager in preparing GAP reports with Tech teams.
  • Train and guide vendors on PO creation tools and related processes.
  • Possess working knowledge of Health and Safety procedures and implement on-site.
  • Establish and maintain good working relationships with all Managed Services employees and client representatives, promoting corporate values.
  • Supervise subcontractors, ensure they comply with contractual commitments, and follow site operating processes.
  • Improve site compliance and manage the site logbook system, resolving client issues without disrupting business or harming client relationships.
  • Be prepared for inclusion on a call-out rota for out-of-hours emergency response.

Key Responsibilities
  • Vendor Management: Manage external vendors in accordance with CBRE standards, ensuring timely completion of work and adherence to quality and safety standards.
  • Team Leadership: Lead and manage a team of facilities professionals, ensuring effective communication, collaboration, and delivery of high-quality services.
  • Health and Safety: Implement and maintain Health and Safety policies and procedures, ensuring a safe working environment for employees and visitors.
  • Financial Management: Manage budgets and finances, ensuring cost-effective delivery of services and adherence to budgetary requirements.
  • Stakeholder Engagement: Engage with clients, stakeholders, and colleagues, ensuring effective communication, resolution of issues, and delivery of high-quality services.

Requirements
  • Bachelor's degree required.
  • A minimum of 5 years' experience in FM, preferably in a supervisory or management role.
  • Strong communication and interpersonal skills, with ability to comprehend and interpret instructions, short correspondence, and memos.
  • Ability to write routine reports and correspondence.
  • Basic knowledge of HSE documents, such as RAMS.
  • Microsoft Office Suite proficiency, with strong Excel, PowerPoint, and Windows skills.
