Human Resources Generalist

The Human Resources Generalist will play a crucial role in overseeing the administrative aspects of human resources within an organization. This includes personnel management, policy implementation, record-keeping, and training initiatives.

Key Responsibilities:
- Ensure accurate maintenance of employee files and liaise with relevant staff members regularly.
- Collaborate with supervisors to revise job descriptions as needed.
- Develop and implement effective hiring practices in conjunction with senior staff.
- Liaise with government authorities to ensure compliance with applicable policies and regulations.
- Participate in the entire recruitment process, including evaluation, promotion, and termination procedures.
- Provide comprehensive orientation packages for new employees and conduct presentations as necessary.
- Work closely with regional coordinators and field managers to ensure accurate staff evaluations are conducted.
- Identify training needs and develop internal and external training opportunities for all staff members.
- Monitor and resolve potential personnel issues, maintaining confidentiality and professionalism at all times.
- Maintain an accurate and up-to-date staff database.
- Prepare payroll and ensure roster accuracy.
- Ensure efficient functioning of administrative filing systems.

Policies and Procedures:
- Take a lead role in updating and amending personnel policies.
- Communicate changes in policy and procedure to all staff through designated channels.
- Apply policies and procedures consistently and fairly for both national and international staff.
- Familiarize yourself with expatriate policies and administration manuals.
- Review and recommend policy changes to senior management when appropriate.
- Conduct annual salary reviews and make recommendations for adjustments to job classifications or salary levels as needed.

Training and Development:
- Design, develop, and implement staff development orientations, in-service training programs, and quality management training sessions for managers, supervisors, and support staff.
- Align training programs with organizational development needs and the overall vision of the office.
- Act as a consultant to the organization on matters related to internal staff development and quality management.

Insurance and Administrative Support:
- Liaise with relevant authorities to establish standard medical insurance for staff members.
- Maintain a system for tracking medical claims in lieu of a medical insurance policy.
- Oversee all leases and recommend timely renewals.

Contractual and Legal Matters:
- Submit staff contracts and agreements for approval and signature by senior management.
- Track contracts and undertake extensions or renegotiations in a timely manner, involving relevant supervisors as necessary.
- Promote and uphold the organization's mandatory reporting procedures.
- Ensure compliance with all applicable laws and principles.
- Liaise with assigned attorneys on legal matters, providing consistent feedback to senior management.

Additional Responsibilities:
- Provide regular verbal feedback and reports to senior management.
- Ensure personal expenses are reimbursed or properly deducted from salaries.
- Update organizational reference sheets monthly (phone directories, NGO information, etc.).
- Visit field sites to address personnel concerns.
- Represent the organization at administration forums.
- Assist with other duties as required by senior management.

- High degree of computer literacy; Excel and Word skills are essential.
- Familiarity with policy interpretation, application, staff entitlements, benefits, recruitment practices, and training programs.
- Ability to prepare clear and concise reports.
- Strong collaboration skills with national and international staff.
- Proven ability to supervise staff and foster a team environment.
- Flexibility and respectfulness in multicultural contexts.
