Position Overview

We are seeking a detail-oriented and proactive Operations Associate to support the Training Division in executing and managing our technical and management system training programs. The ideal candidate will assist in coordinating daily operations, trainer scheduling, client communication, and quality compliance to ensure smooth and professional training delivery.

Key Responsibilities

1. Training Operations & Execution

Coordinate end-to-end execution of training programs (online & onsite).

Arrange logistics including venues, materials, equipment, and trainer schedules.

Maintain and update the training calendar based on trainer availability and client demand.

Ensure smooth and uninterrupted training operations on a daily basis.

2. Trainer & Client Coordination

Coordinate with trainers, auditors, and subject matter experts for course delivery.

Communicate with clients regarding registration, confirmations, and session details.

Manage participant records, attendance sheets, assessments, and certificate issuance.

3. Quality Assurance & Compliance

Ensure training delivery complies with IRCA / Exemplar Global standards and internal SOPs.

Maintain complete documentation for internal audits and accreditation requirements.

Monitor participant feedback and propose improvements to enhance training quality.

4. Reporting & Administrative Support

Prepare daily, weekly, and monthly performance reports and training analytics.

Assist in budgeting, cost management, and invoicing for training programs.

Maintain inventory of printing materials, manuals, certificates, and promotional items.

5. Business & Sales Support

Work closely with Sales & Marketing teams to promote training programs.

Assist in preparing quotations, proposals, capability statements, and presentations.

Represent the Training Division at seminars, job fairs, and promotional activities.

6. Trainer Onboarding & Evaluation

Support onboarding of trainers by ensuring required documentation and tools are complete.

Conduct periodic trainer evaluations based on feedback and performance trends.

Maintain an updated database of trainer profiles, competencies, and availability.

7. Risk Management & Troubleshooting

Identify potential risks such as trainer cancellations, technical issues, or venue challenges.

Implement preventive measures to ensure sessions run smoothly.

Resolve participant or client concerns during training sessions professionally.

8. Training Content & Material Coordination

Work with subject matter experts to keep training content updated and standardized.

Maintain version control for course modules, manuals, presentations, and assessment tools.

Qualifications

Bachelor's degree (Business, Operations, HR, or related field preferred).

0–2 years of experience in training coordination, operations, or administrative support.

Proficiency in MS Office (Excel, Word, PowerPoint).

Strong communication, organizational, and multitasking skills.

Ability to work under pressure and manage multiple ongoing tasks.
