Executive Secretary to CEO

Location: Karachi

Role Overview:

We are looking for a highly organized and proactive Executive Secretary to the CEO. The ideal candidate will provide executive-level support, manage day-to-day administrative tasks, and ensure seamless coordination between the CEO and internal/external stakeholders.

Key Responsibilities:

  • Manage the CEO's calendar, appointments, meetings, and travel arrangements.
  • Prepare correspondence, reports, presentations, and other documents as required.
  • Handle confidential information with integrity and discretion.
  • Coordinate with internal departments and external stakeholders on behalf of the CEO.
  • Organize and maintain filing systems, records, and official documents.
  • Draft meeting agendas, record minutes, and follow up on action items.
  • Monitor emails, calls, and requests, ensuring timely responses.
  • Assist in research, data compilation, and preparing briefing materials for decision-making.
  • Act as the primary point of contact between the CEO and employees/clients.

Requirements:

  • Bachelor's degree in Business Administration or related field.
  • 3–5 years of experience as an Executive Secretary, Personal Assistant, or similar role (experience supporting C-level executives preferred).
  • Strong communication and interpersonal skills.
  • Excellent organizational and time-management abilities.
  • High level of integrity and confidentiality.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management tools.
  • Ability to multitask and work under pressure in a fast-paced environment.
