
Client Support and Administrative Coordinator

We are seeking a detail-oriented and organized Client Support and Administrative Coordinator to join our team. This role is crucial for ensuring effective communication with clients, managing administrative tasks, and coordinating support tickets. The ideal candidate will be a proactive problem-solver with excellent communication skills, who can manage multiple tasks efficiently in a fast-paced environment.
Key Responsibilities
Client Communication & Meeting Coordination:
- Attend client meetings, taking accurate and comprehensive notes with Screenshots.
- Draft and distribute meeting summaries to clients in a timely manner.
- Manage and send meeting invitations and calendar appointments using Microsoft Outlook.
Ticket & Request Management:
- Monitor dedicated email inboxes and WhatsApp groups to identify incoming support tickets and client requests.
- Triage, document, and distribute support tickets to the appropriate team members for action.
- Track the status of all pending items and send regular reminders to ensure timely completion.
Project & Task Administration:
- Draft and send "work completed" emails to clients upon the successful resolution of tasks or projects.
- Perform quality assurance & critical items testing on website forms and other related components before they are launched to the public.
Job Hours
- This is a full-time position.
- The regular working hours are 6:00 PM to 2:30 AM PKT, Monday through Friday. Plus working 30 min to add all the tasks that came after hour by 12:00 noon PKT
Qualifications
- Previous experience in an administrative, coordination, or client support role is highly preferred.
- Proficiency with Microsoft Outlook and other Microsoft Office Suite applications.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills – minimum 55 words per min. test will be provided.
- Ability to manage multiple priorities and work effectively under deadlines.
- Familiarity with team collaboration and messaging platforms like WhatsApp is a plus.
- A proactive attitude and a willingness to take initiative.
