Are you a high-performing professional with a strong command of executive support, strategic coordination, and stakeholder management? We are looking for an experienced Executive Assistant / PSO to support our Chief Executive Officer (CEO) at Grand City.

This role offers a unique opportunity to work directly with top leadership and influence strategic outcomes while managing complex workflows and high-level interactions.

Key ResponsibilitiesExecutive Support

  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Manage and maintain the CEO's calendar, including meetings, travel, and events.
  • Prepare meeting briefs, agendas, presentations, and talking points.
  • Track and follow up on CEO communications, decisions, and delegated actions.
  • Handle sensitive and confidential information with discretion and professionalism.

Coordination & Liaison

  • Act as a liaison between the CEO and senior management, clients, partners, and government bodies.
  • Ensure effective cross-departmental communication aligned with the CEO's directives.
  • Attend meetings with or on behalf of the CEO; prepare MoMs and track actionable items.

Project & Information Management

  • Oversee and monitor progress on high-priority initiatives and strategic projects.
  • Assist in drafting and reviewing strategic reports, memos, and official correspondence.
  • Maintain structured records, trackers, and ensure smooth information flow to and from the CEO's office.

Administrative Duties

  • Draft professional letters, emails, and official communications.
  • Manage incoming correspondence, screen calls, and prioritize responses.
  • Support event planning and protocol management for board meetings, VIP visits, or media events.
  • Coordinate logistics for meetings, workshops, and offsite engagements.

Requirements & Qualifications

  • Education: Bachelor's or Master's in Business Administration, Public Administration, Management, or related field.
  • Experience: Minimum 2 years in an executive assistant or PSO role, preferably supporting C-level leadership.

Skills & Competencies

  • Exceptional written and verbal communication skills.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Professional demeanor with strong interpersonal and stakeholder management skills.
  • Ability to manage multiple priorities under pressure with accuracy and efficiency.
  • Proactive, highly organized, discreet, and dependable.
