We're now seeking a
highly organized, proactive, and resourceful Executive Assistant
to join our team someone who thrives in fast-paced environments, anticipates needs before they arise, and helps our leadership team stay focused on what matters most: growth, strategy, and impact.

Key Responsibilities

Executive Support & Calendar Management

  • Manage complex executive calendars, ensuring efficient scheduling and time optimisation.
  • Coordinate internal and external meetings, including client calls, project reviews, and company events.
  • Anticipate conflicts, propose smart solutions, and maintain alignment with key business priorities.

Client Communication & Relationship Management

  • Act as a
    primary liaison
    for clients delivering clear, professional, and timely communication.
  • Oversee
    client onboarding
    , including account setup, Zoom/Outlook configuration, and software provisioning.
  • Build lasting relationships with clients and partners, ensuring an exceptional experience at every touchpoint.

Project Coordination & Operational Support

  • Support ongoing projects by tracking deliverables, following up on action items, and facilitating communication between teams.
  • Assist in preparing
    proposals, reports, and presentations
    with accuracy and polish.
  • Identify workflow challenges and recommend improvements to enhance efficiency.

Meeting & Event Management

  • Plan and organize
    team meetings, conferences, and special events
    , managing agendas and logistics end-to-end.
  • Take detailed meeting notes and ensure follow-up actions are completed on schedule.
  • Coordinate tech requirements for seamless
    virtual and in-person events
    .

Travel & Expense Coordination

  • Arrange
    domestic and international travel
    , managing itineraries, documentation, and budgets.
  • Review and reconcile expense reports promptly and accurately.

Administrative Excellence & Confidentiality

  • Draft and proofread executive communications, reports, and internal documents with precision.
  • Handle sensitive information with
    utmost confidentiality and professionalism
    .
  • Manage contact lists, office supplies, and onboarding logistics for new hires.

Cross-Functional Collaboration

  • Liaise with internal teams, executives, and external stakeholders to ensure alignment and progress.
  • Support
    special initiatives and process improvement projects
    that drive operational excellence.

Skills & Competencies

  • Proven experience as an
    Executive Assistant
    ,
    Project Coordinator
    , or in a similar role.
  • Exceptional
    communication and interpersonal skills
    .
  • Strong
    organizational, time management, and multitasking
    abilities.
  • Tech-savvy with proficiency in
    Microsoft Office, Outlook, Zoom
    , and project management tools.
  • High level of
    discretion, integrity, and professionalism
    .
  • Proactive problem-solver and adaptable team player.
  • Experience with
    Quip, Slack, Salesforce, or Tableau
    is a plus.

Qualifications & Requirements

  • 5+ years
    of administrative experience supporting senior executives.
  • Bachelor's degree
    required; Master's degree preferred.
  • Experience with
    virtual meeting platforms
    (Zoom, Google Meet, Webex, etc.).
  • Demonstrated ability to
    manage cross-functional priorities
    in a fast-paced environment.
  • Strong written and verbal communication skills with a polished, professional demeanor.
  • Proven ability to build relationships and manage competing priorities with confidence and tact.
