Role Overview
Own prior authorizations end to end. Review patient records, gather clinical documentation, submit and track requests through payer portals, resolve denials, and keep precise logs. Coordinate with providers and payers to remove blockers and move authorizations to approval quickly. Operate in a fast paced virtual care environment with high accuracy and clear communication.
Key Responsibilities
Insurance Coordination and Authorization Management
• Review patient records and collect clinical documentation that supports prior authorization requests
• Initiate authorization workflows through payer portals and phone as required
• Submit complete and accurate requests according to payer criteria and medical policies
• Track all requests, monitor status, and act promptly on denials, pendings, or additional info requests
• Log approval numbers, validity windows, reference IDs, and supporting artifacts
• Notify the intake team immediately upon completion of urgent or time sensitive authorizations
Provider and Payer Communication
• Coordinate with referring providers to obtain missing orders, notes, labs, or imaging
• Communicate with payer representatives to supply required records and clarify criteria
• Record every interaction with date, time, rep name, contact details, and reference number
• Collaborate with internal operations and clinical teams to maintain uninterrupted information flow
Documentation, Compliance, and Process Improvement
• Update internal SOPs and references when payer policies change
• Add new medication prior approval requirements to the medication reference list
• Ensure documentation completeness, accuracy, and compliance with internal and regulatory standards
• Flag process gaps and propose workflow enhancements for speed and first pass approval rate
• Perform additional duties assigned by leadership to support business and operational goals
Qualifications
• Healthcare industry experience preferred
• LPN, CNA, or RN certification preferred
• Working knowledge of health insurance, prior authorization criteria, and care pathways
• Strong written and verbal communication skills
• Team oriented mindset with ability to support growth and changing priorities
• Proven multitasking, time management, and organizational skills
• High attention to detail with reliable follow through
Technical Requirements
• Company provided laptop

• Minimum internet download speed 30 Mbps
• Backup internet connection
• Wired Ethernet connection preferred for stable bandwidth
