Travel Administrator

Location: Karachi.

Work schedule: 6/1.

The Travel Coordinator is responsible for managing all aspects of business travel for the project team, including planning, booking, and coordinating transportation, accommodation, and other travel-related services. The role ensures cost-effective and timely arrangements while complying with company policies and project requirements.

1. Travel Planning & Coordination

  • Arrange travel logistics for employees including flights, buses, and internal transfers.
  • Book airline tickets, monitor flight availability, and search for cost-effective routes.
  • Coordinate arrival and departure schedules according to rotation plans.
  • Ensure seamless travel planning for new hires, rotation staff, and short-term visitors.

2. Accommodation Management

  • Arrange accommodation in hotels, hostels, or company camps.
  • Maintain an updated accommodation register (check-in, check-out, available rooms).
  • Coordinate with hotels or camp administration regarding reservations, extensions, and cancellations.
  • Ensure employees are properly placed and informed about lodging details.

3. Airport Meet & Greet

  • Organize airport pick-up and drop-off services.
  • Meet employees arriving at the airport when required.
  • Coordinate transportation from airport to accommodation or job site.
  • Provide travel instructions and ensure safe transit.

4. Documentation & Records

  • Maintain travel databases, travel requests, booking confirmations, invoices, and receipts.
  • Keep records of employee movement: arrivals, departures, accommodations.
  • Prepare daily/weekly travel reports for HR and site management.
  • Monitor visa, passport, and travel document validity (if required by company).

5. Communication & Coordination

  • Communicate travel details to employees before departure.
  • Coordinate with HR, Logistics, Project Managers, and Camp Administrators.
  • Inform departments about expected arrivals or rotation schedules.
  • Provide timely updates in case of flight changes or delays.

6. Problem Solving & Support

  • Handle urgent travel requests and last-minute changes.
  • Solve issues related to booking errors, flight delays, or accommodation conflicts.
  • Support employees during travel emergencies (missed flights, lost luggage, etc.).

7. Financial Control

  • Work within approved travel budgets.
  • Request purchase orders for flights and accommodation.
  • Verify invoices and support Finance with travel-related cost documentation.
