. You will play a vital role in supporting the financial operations of our organization, ensuring the accuracy, completeness, and timeliness of our bookkeeping functions.

Key Responsibilities:

Core Bookkeeping Tasks:

  • Accurately
    enter labor bills
    in a timely manner, ensuring completeness and classification accuracy.
  • Timely and correct
    entry of inventory bills
    , with assignment to the correct
    property class and project
    .
  • Categorize up to ~1000 transactions per week
    , tagging each transaction with the correct
    class and project
    .
  • Ensure
    immediate entry of vendor bills
    (approximately 70–80 per week).
  • Schedule bill payments
    on a monthly basis, ensuring proper matching to their corresponding bill entries.
  • Manage and oversee
    Accounts Payable (AP)
    , maintaining up-to-date vendor records.
  • Assist in
    creating and sending invoices
    as needed, in coordination with the office team.

Additional Duties:

  • Communicate effectively with the
    Office Manager and internal teams via Slack
    , ensuring seamless workflow and task updates.
  • Navigate and utilize
    vendor portals
    for invoice retrieval, payment processing, and reconciliation.
  • Collaborate with the company's
    QuickBooks consultant
    to resolve system-related issues and implement best practices.
  • Ensure
    accurate job costing
    for supplier orders, particularly for purchases ranging from
    $300 to $1000
    , including detailed cost breakdowns when needed.
  • Maintain proactive communication with a
    roster of 15+ suppliers
    , ensuring accuracy, timely resolution of issues, and strong working relationships.

Qualifications:

  • Minimum
    5 years of experience
    in bookkeeping roles, with at least
    3 years working with U.S. businesses
    .
  • Proficiency in
    QuickBooks Online
    is required; certification is a plus.
  • Strong understanding of
    U.S. GAAP
    and bookkeeping standards.
  • Experience with
    project-based accounting
    and
    class tracking
    .
  • High-level proficiency with
    Microsoft Excel or Google Sheets
    .
  • Excellent attention to detail, organizational skills, and ability to work independently.
  • Experience working with
    virtual teams and communication tools
    (Slack, Zoom, etc.).

Work Schedule & Availability:

  • Availability during
    U.S. business hours
    (full or part-time based on agreement).
  • Ability to respond to urgent issues or clarification requests in a timely manner.
