PURPOSE OF ROLE:

The Project Administrator's main purpose is to provide administrative support to the Management and the Project Core Team.

KEY RESULT AREAS:

Responsibilities include but are not limited to the following:

  • Providing administrative support to the Project Core Team and the management.
  • Producing a project governance matrix that will detail the regular meetings and reviews that the Project Core Team is responsible for or involved in.
  • Organizing meetings, both external and internal, arranging travel, and organizing all office requirements for the Project Core Team.
  • Maintaining and updating company databases.
  • Record-keeping in Excel as well as in physical form, controlling and auditing communication of both incoming and outgoing correspondence.
  • Preparing regular reports on expenses and office budgets.
  • Supporting the Finance department in obtaining chamber letters.
  • Assisting in collecting other visa-related documents when required.
  • Keeping Leave records properly filed, scanned, and circulated to the relevant staff.
  • Supporting in making timesheets and checking the daily attendance register concerning the leave record.
  • Keeping a record of all DNs and managing the submission of DNs to PR accordingly.
  • Managing the collection of letters from PR and circulating them simultaneously.
  • Purchasing materials from the market, as well as local purchases of grocery and cleaning items.
  • Scanning (DNs, letters, documents, expenses, etc.), including cash advance requests, travel requests, travel expense claim forms, and medical claims of all staff.
  • Storing hard copies of approved cash advance requests and approved expenses after circulation.
  • Any other assignments from the Line Manager/Management.
