Job Title: Operations Assistant (Data Processing)

Under the supervision of the National Movement Operations Manager and the direct supervision of the National Associate Movement Operations Officer (DP), the Operations Assistant (Data Processing) is responsible for the following duties:

  • Record demographic and biographic information in MiMOSA upon receipt of travel requests, confirming receipt to third parties such as embassies or Resettlement Support Centers (RSC). Notify the National Associate Movement Operations Officer (Mov) of new travel assistance requests.
  • Secure and account for travel documents following local Standard Operating Procedures (SOPs). Ensure secure storage of documentation and data, limiting access in accordance with IOM principles and guidelines.
  • Process exit permits in coordination with supervisors, colleagues, and relevant authorities.
  • Ensure timely issuance and dispatch of travel documents, coordinating with Operations colleagues from booking to logistical assistance for exit processes.
  • Prepare all travel documentation for transfer to Field Support colleagues, ensuring all necessary documents are in the travel bag for departure.
  • Prepare reports on documentation receipt and service delivery, inform supervisors of issues, and suggest corrective actions. Report problems such as exit permit denials and propose solutions.
  • Assist in data mining reports to keep MiMOSA up-to-date and accurate, maintaining the integrity of Movement Operations projects.
  • Provide feedback on work progress to the National Associate Movement Operations Officer (DP) and inform supervisors of any issues.
  • Understand Movement Operations SOPs and related systems/databases, maintaining professionalism, impartiality, and adherence to the IOM Code of Conduct and PSEA guidelines.
  • Maintain confidentiality and data integrity, reporting non-compliance with SOPs or conduct standards.
  • Perform additional duties as assigned.
Requirements

Education

  • Bachelor's degree with three years of relevant experience OR a high school diploma with five years of experience.
  • Five years of relevant work experience.
  • Three years of experience with a Bachelor's degree.
  • Experience with Movement Operations or transportation is advantageous.

Skills

  • Experience with Movement Operations databases/systems (iGATOR, MiMOSA, SAR, Amadeus) is advantageous.
  • Knowledge of Refugee Resettlement.

Languages

  • Fluent in English (oral and written) is required.
  • Knowledge of Dari or local languages is an advantage.
