We are seeking a highly organized, strategic, and results-driven individual to establish and lead the Project Management Office (PMO) for Brillanz Group. This is a high-impact leadership role that offers the opportunity to shape and drive the project management framework, governance, and operational excellence for a dynamic and growing business. The ideal candidate will be a PMP-certified professional with proven expertise in PMO setup, project execution, and process optimization. You will play a pivotal role in aligning business objectives, improving efficiency, and ensuring seamless execution of projects across departments including technology, operations, business development, marketing and regulatory. This role requires a strong ability to collaborate with cross-functional teams, engage with senior stakeholders, and enforce accountability at all levels of the organization. Success in this role will depend on your ability to establish structured project governance, drive strategic initiatives, track key milestones, and mitigate risks proactively. Your leadership and structured approach will ensure that all projects are executed with precision, timeliness, and strategic alignment, contributing to the long-term success of Brillanz Group.

Key Responsibilities:

  1. PMO Development & Governance:
  • Establish and implement PMO best practices, governance frameworks, and standardized project methodologies aligned with organizational objectives.
  • Define and enforce project governance structures, including approval processes, risk management frameworks, and escalation protocols.
  • Develop and oversee compliance policies and documentation standards to ensure consistency in project execution.
Project Planning, Execution, and Tracking:
  • Develop and maintain comprehensive project roadmaps, schedules, and timelines for all key initiatives.
  • Monitor project milestones, dependencies, and deliverables, ensuring they are completed on time, within scope, and budget.
  • Establish and maintain project dashboards, reports, and key performance indicators (KPIs) to track progress and measure success.
Cross-Functional Collaboration & Stakeholder Engagement:
  • Act as a central coordination point between different business units, departments, and external stakeholders to align project objectives.
  • Facilitate effective communication and collaboration across teams, ensuring all stakeholders are engaged and informed.
  • Manage and foster relationships with senior leadership, business partners, and external vendors to drive seamless execution of projects.
  • Identify, assess, and proactively mitigate project risks, issues, and bottlenecks before they impact deliverables.
  • Develop and implement contingency plans, corrective actions, and escalation processes to address project challenges.
  • Conduct regular risk assessments and update mitigation strategies based on evolving project needs.
Project Tools & Process Optimization:
  • Implement and optimize project management tools and software to streamline tracking, reporting, and workflow automation.
  • Continuously refine project methodologies, workflows, and resource allocation to enhance operational efficiency.
  • Drive adoption of agile methodologies and best practices where applicable.
Performance Measurement & Strategic Insights:
  • Provide data-driven insights and strategic recommendations to leadership for informed decision-making.
  • Analyze project performance trends and identify areas for improvement.
  • Establish a framework for continuous improvement, lessons learned, and knowledge sharing within the PMO.
Accountability & Culture Building:
  • Foster a culture of accountability, efficiency, and continuous improvement across project teams.
  • Develop and mentor project managers, ensuring they have the necessary skills, tools, and support to excel.
  • Organize and conduct training sessions, workshops, and PMO awareness programs for the organization.

Essential Qualifications & Requirements:

  • PMP Certification is mandatory, with a strong understanding of PMI's project management principles and best practices.
  • A total of at least 8 years of experience, with a minimum of 5+ years in PMO setup, project governance, and project management within a structured organization.
  • Proven ability to establish, scale, and optimize PMO functions, ensuring alignment with strategic business goals.
  • Experience in the media industry, or digital and technology sectors, particularly with techno-commercial exposure involving cross-functional project execution.
  • Strong expertise in managing large-scale, complex projects across multiple teams and stakeholders, ensuring timely delivery and alignment with strategic objectives.
  • Experience in business process improvement, change management, and operational efficiency initiatives, with a focus on driving performance.
  • Exceptional organizational skills, with the ability to develop structured workflows, enforce deadlines, and track multiple initiatives simultaneously.
  • Extensive experience in stakeholder engagement, executive reporting, and cross-functional coordination, ensuring seamless communication across all levels of the organization.
  • Proficiency in project management tools such as MS Project, ClickUp, Jira, Monday.com, Asana, Trello, or similar platforms, with a deep understanding of automation and reporting functionalities.
  • Strong analytical and problem-solving skills, with the ability to assess project trends, identify bottlenecks, and implement corrective actions proactively.
  • Excellent communication, negotiation, and presentation skills, with the ability to influence decision-making at senior leadership levels.
  • Demonstrated ability to handle high-pressure situations, make data-driven decisions, and prioritize tasks effectively in a fast-paced and evolving environment.
  • Experience in financial planning, budget management, and resource allocation for project execution.
  • Ability to drive a culture of continuous improvement, agility, and innovation within the organization's project management ecosystem.
  • Preferred experience in Agile methodologies, Six Sigma, or Lean project management for process optimization and efficiency.
