
Head of Procurement Operations

The Assistant Manager–Imports plays a pivotal role in procurement, reporting directly to the supervisor. Responsibilities include assisting in planning, supervising and monitoring all activities related to procurement of goods, supplies and equipment containers from international sources.
Key qualifications include solid understanding of PPRA rules and regulations, experience with supply chain management and a Certified Supply Chain Professional (CSCP) or equivalent certification.
Responsibilities:- Procurement Planning: Assist in implementing policies and procedures applicable to procurement, ensuring compliance with relevant laws and regulations.
- Supervision and Monitoring: Support the supervisor in executing procurement plans and schedules in coordination with user departments.
- Order Management: Ensure that quantity requirements and specifications of ordered goods meet user agreements, handle deviations or amendments with proper approvals, and prepare tender announcements following established protocols.
- Contract Management: Assist in reviewing technical and financial bid evaluations, prepare evaluation reports, coordinate contract finalization with suppliers, negotiate terms and oversee purchase order issuance.
- Financial Coordination: Collaborate with the Finance Department regarding foreign payments and Letters of Credit.
- Import Tracking: Supervise real-time import tracking, ensure effective use of digitization modules and generate accurate reports for senior management.
- Clearance and Delivery: Obtain shipment statuses, coordinate clearance and delivery with relevant departments and maintain updated records.
- Supplier Management: Maintain and update supplier and vendor management databases and records for bills, bid bonds and performance bonds.
- Accounts Preparation: Ensure proper processing of invoices and assist in budget preparations in coordination with the Accounts Department.
- Audit Queries: Assist in audit queries and prepare responses with supporting documents in a timely manner.
- Risk Management: Follow and promote the organization's risk management framework, actively participating in related activities.
- MBA preferably in Supply Chain from a recognized university.
- At least 2 years of experience in procurement and logistics.
- Certified Supply Chain Professional (CSCP) or equivalent is an added advantage.
- Experience with PPRA rules and regulations is preferred.
