Reports to: HR Manager/Managing Director

Job Summary:

We are seeking a motivated and detail-oriented HR Officer to support the day-to-day HR functions within our organization. The ideal candidate will assist in recruitment, employee relations, benefits administration, onboarding, and other HR activities, while ensuring compliance with policies and maintaining a positive workplace culture. This role offers an excellent opportunity to gain hands-on experience and contribute to the development of our HR practices.

Key Responsibilities:

  • Assist with the recruitment process, including posting job openings, screening resumes, conducting initial interviews, and coordinating interview schedules.
  • Prepare and manage job offer letters, new hire documentation, and ensure smooth onboarding for new employees.
  • Maintain up-to-date employee records and files, ensuring confidentiality and compliance with company policies and legal requirements.
  • Track and update employee status changes, such as promotions, transfers, and terminations.
  • Serve as a point of contact for employee inquiries regarding HR policies, benefits, and company procedures.
  • Assist in resolving employee concerns or conflicts by facilitating communication between employees and management.
  • Assist in administering employee benefits programs, including health insurance, retirement plans, and other employee perks.
  • Coordinate the enrollment process and respond to employee questions regarding benefits coverage.
  • Ensure compliance with labor laws and company policies, providing regular updates to the HR Manager regarding HR compliance matters.
  • Assist in preparing HR-related reports, audits, and documentation for internal or external use.
  • Support the coordination of employee training programs and workshops.
  • Assist in tracking employee training progress and maintaining records of completed training sessions.
  • Provide general administrative support to the HR department, including preparing HR correspondence, filing documents, and maintaining HR databases.
  • Organize and schedule HR meetings and events.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • Fresh/1-2 years of experience in an HR role (internships or entry-level roles acceptable).
  • Strong understanding of HR processes and labor laws.
  • Proficient in MS Office (Word, Excel, PowerPoint) and HR software (e.g., HRIS, ATS).
  • Excellent communication and interpersonal skills.
  • Detail-oriented with the ability to handle confidential information.
  • Ability to multitask and work in a fast-paced environment.
  • Strong organizational and time-management skills.

Preferred Qualifications:

  • Experience with recruitment tools and applicant tracking systems (ATS).
  • Knowledge of employee benefits programs and HR compliance regulations.
  • Certification in HR (e.g., SHRM-CP or PHR) is a plus.
