Pakistan Tobacco Company has an exciting opportunity for an Executive Assistant
Your Key Responsibilities Will Include**

  • Manage the Head of Function's (HoF) calendar, medical claims, travel & entertainment (T&E) claims, and other assigned day-to-day tasks. Also, assist the functional leadership team with expense claims.
  • Oversee travel arrangements for the function, including booking flights, hotels, and coordinating visa applications.
  • Organize departmental meetings and events, ensuring end-to-end execution, and coordinate cross-functional meetings with relevant stakeholders.
  • Handle T&E portal-related matters, troubleshoot user issues, monitor ageing claims, ensure correct claim submissions, conduct training on T&E policies, and circulate regular educational communications.
  • Manage purchase orders, vendor invoices (PO & non-PO), track departmental T&E budgets, consolidate reports, and maintain records of POs, GRNs, and invoices while liaising with internal and external stakeholders.

What are we looking for?

  • Minimum of 3–4 years of proven experience as an Executive Assistant
  • Bachelor's degree in a relevant field
  • Proficient in administrative tasks and support systems, with strong command of English and expertise in MS Teams and MS Office tools.
  • Excellent communication skills with a strong ability in stakeholder management and the capability to independently handle administrative tasks and resolve related issues.
  • Demonstrates proactiveness, ownership, and drive, while displaying strong teamwork and interpersonal skills.
