Job Summary:

The Executive Secretary provides high-level administrative and secretarial support to the senior executive(s). This role involves managing schedules, preparing correspondence, handling confidential information, coordinating meetings, and ensuring efficient communication within and outside the organization.

Key Responsibilities:

  • Manage and maintain executive schedules, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle confidential information with discretion and professionalism.
  • Coordinate internal and external meetings, including agenda preparation and minutes recording.
  • Screen and prioritize incoming calls, emails, and requests for the executive.
  • Liaise with internal departments and external stakeholders on behalf of the executive.
  • Organize and maintain physical and digital filing systems.
  • Follow up on tasks and ensure timely completion of assigned activities.
  • Support in planning and coordinating company events or executive-level engagements.
  • Perform other administrative duties as assigned.

Qualifications and Skills:

  • Education:
    Bachelor's degree in Business Administration or related field (Master's preferred).
  • Experience:
    Minimum 3–5 years of experience as an Executive Secretary, Executive Assistant, or similar role.
  • Skills:
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Discretion in handling confidential matters.
  • Attention to detail and proactive problem-solving attitude.
  • Ability to multitask and work under pressure.

Work Environment:

  • Office-based position.
  • May require occasional overtime or availability outside regular working hours.

Job Timing: 12 PM to 9 PM
