The Receptionists/ Administrative Assistants are charged with a responsibility that may have a lasting impact on the success of your organization: making a good first impression. These employees are the first representatives of your organization.
General Description
Under the direction of the LCD, the Receptionist will take care of the day-to-day operation of the Language Center, providing the highest level of service to existing and prospective customers.
Responsibilities
- Greet all visitors/customers, prospective customers, and provide them with information and answer questions.
- Take phone inquires from prospective customers and convert them to appointments. Monitor and actively increase customer service on all levels.
- Follow up all inquiries by telephone or mail.
- Give counseling to students when necessary, in coordination with LCD.
- Prepare pedagogical/ progress cards for the following day's lessons, type up schedule for following day's lessons, put pedagogical/progress cards in holders for each teacher, post room allocation charts.
- Take students' appointment and reschedule cancellations.
- Assist the LCD and MI and give them proper information about students.
• Work accurately on a daily basis with the Language Center Management System.
- Post data accurately into the computer regarding the status of student fee payments; inform students when their balance is low; confirm renewed student contracts and collect cash from students.
- Manage group filling in cooperation with LCD and raise the group filling ratio. Administer information regarding students' transfers and related billing.
- Manage office administration such as ordering students' material and supplies for the reception area.
- Keep track of the material inventory.
