Role Summary
The Client Servicing Associate will act as the primary coordination bridge between clients and internal departments (Media, Strategy, Creative & Design, Operations, and Accounts). The role ensures smooth communication, timely project execution, client satisfaction, and the accurate delivery of Kollaage Concepts' OOH, activations, and marketing solutions.
This position requires excellent communication skills, a proactive mindset, and strong organizational abilities to manage multiple clients, projects, and timelines simultaneously.
Key Responsibilities
1. Client Relationship Management
- Act as the day-to-day contact for assigned clients.
- Maintain strong, professional relationships and ensure timely responses to client queries.
- Schedule, attend, and document client meetings, sharing minutes with relevant teams.
- Understand client objectives and translate them into actionable internal briefs.
2. Project Coordination & Execution
- Coordinate with Strategy, Creative, Media, Operations, and Accounts for seamless campaign execution.
- Prepare detailed job briefs, timelines, and follow-ups to keep tasks on track.
- Monitor OOH installations, activations, and campaign rollouts, sharing updates with clients.
- Ensure all deliverables (artworks, proposals, presentations, reports) are delivered accurately and on time.
3. Proposal & Presentation Support
- Assist in preparing client proposals, pitch decks, OOH plans, and execution summaries.
- Work closely with the design and strategy teams to gather required inputs for client presentations.
- Maintain updated knowledge of Kollaage media inventory, offerings, and capabilities.
4. Operational & Financial Coordination
- Coordinate with Accounts for quotations, billing, vendor payments, and documentation.
- Gather accurate project data (sites, impressions, vendor quotes, timelines) for budgeting.
- Ensure client approvals (artworks, budgets, timelines) are documented and archived.
5. Reporting & Documentation
- Prepare campaign progress reports, post-campaign summaries, and photo documentation.
- Maintain organized documentation for each client: briefs, approvals, artwork versions, contracts, and invoices.
- Track weekly tasks and provide status updates to the Manager/General Manager.
Key Skills & Competencies
- Excellent communication skills (written and verbal)
- Strong organizational and multitasking ability
- Basic understanding of OOH media, marketing campaigns, and event processes
- Proactive attitude and ability to handle pressure and deadlines
- Good command over MS Office (PowerPoint, Excel, Word) and Google Workspace (Slides, Doc, Sheets)
- Ability to coordinate with multiple departments simultaneously
- Strong client-facing confidence and problem-solving mindset
Qualifications
- Bachelor's degree in Marketing, Business Administration, Mass Communication, or a related field
- 0.5–2 years of experience in client servicing, account management, or coordination roles (Fresh graduates with strong communication skills may also apply)
Working Environment
- Fast-paced marketing & OOH agency environment
- Requires regular coordination with field teams, designers, and senior management
- Occasional site visits for OOH verification, activations, or quality checks
- Standard office hours with flexibility during campaign rollouts or event days
